Summary/Objective: The Corporate Services Administrative Assistant is the administrator to the Business Development Department. This position will maintain the data, systems and financials regarding all referral matters.

Essential Functions:

· Administrative Services

o Responsible for welcoming everyone encountered, whether in person or on the phone, with a warm, friendly and memorable interaction

o Assist with organizing and maintaining a well-presented office

o Distribution of all incoming mail for the branch

o Responsible for quickly answering, assessing and forwarding all incoming calls to the proper person for legendary service

o Front Office Customer Service

o Maintain office supply inventory

o Plan, coordinate and promote all office parties and gatherings

o Ensure office opening tasks are performed so each employee can have a productive and positive day

· Real Estate Support Services

o General data entry and administrative functions and reporting to support the company

o Special projects to create customers for life and strong communication post-closing

o Assist with review, communication and accurate record keeping of all licensees

o Maintain accurate Agent Records including internal files and maintenance of all Company and agent licensing

o Manage the Agent Records inbox and make approved changes

o Receive and record tenant rental payments

· Competencies

o Organizational Skills, ability to multi-task, prioritize and be flexible with changing business needs in a team environment as well as manage deadlines

· Work Environment/Dress Code

Dress code is business attire.

· Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to see, talk and hear. This is largely a sedentary role; however, some filing and movement through the office is required. This would require but is not limited to the ability to lift files, open filing cabinets, and maintain office equipment. This job requires good hearing and eyesight for customer communication and computer input.

· Position Type/Expected Hours of Work:

This is a full-time, in-office position, Monday through Friday from 8:30a.m. to 5:30p.m. Occasional evening and weekends may be required as job duties demand.

· Travel

Local travel to nearby offices and event spaces

· Preferred Education and Experience

High school diploma or equivalent

2 years of real estate, administrative support, or receptionist experience
