Capitol Square Dental is Hiring a Front Office Manager/Receptionist Near Madison, WI

About Us: Capitol Square Dental is a premier, family-owned dental practice dedicated to providing the highest possible quality dental service to our patients in Madison and surrounding areas. Our exceptional service is proven in the dozens of patients who have been loyal to Dr. Sanderson for his entire 34 years here at Capitol Square Dental, including those who continue to travel hours and countries away to have services provided by him. Position Overview: We are seeking a skilled and enthusiastic Dental Office Manager/Front Desk professional to join our team. The ideal candidate will have a passion for delivering outstanding customer service, the ability to handle various administrative tasks efficiently, and a genuine desire to assist patients with their dental needs. While previous experience in a dental office is preferred, we welcome candidates with a strong background in customer service and a willingness to learn.

Responsibilities:

  • Greet patients with a warm and friendly demeanor, ensuring a positive experience from the moment they walk in the door.
  • Answer phones, schedule appointments, and manage patient inquiries with professionalism and efficiency.
  • Verify insurance coverage and assist patients with billing and payment processing.
  • Maintain accurate patient records and ensure accuracy and compliance with all privacy regulations.
  • Coordinate treatment plans and appointments.
  • Oversee day-to-day operations of the front desk area, including managing patient flow and addressing any issues or concerns promptly.
  • Assist with various administrative tasks such as filing, data entry, and inventory management.
  • Addressing office maintenance and technical issues and coordinating solutions.
  • Light office cleaning and sanitizing of reception area.
  • Some supervision part-time student employees and delegation of tasks.

Qualifications:

  • 4 years of demonstrated experience in providing exceptional customer service in a professional setting.
  • Strong technical ability with the capability to troubleshoot and problem solve independently.
  • Clear communication and strong interpersonal skills, with a positive attitude and a genuine desire to help others.
  • Excellent organizational abilities and the ability to multitask effectively in a fast-paced environment.
  • Proficiency in computer skills, including Microsoft Office and experience with a Practice Management software (we use AltaPoint), or any Customer Relationship Management is a plus.
  • Ability to maintain confidentiality and adhere to HIPAA regulations.
  • Previous experience in a dental office is preferred but not required; willingness to learn and adapt to new responsibilities is essential.
