Position Overview:

  • The Receptionist answers all incoming calls for CARES School; greets and directs visitors who enter the School. Additional responsibilities include assisting the School Administrative Business Coordinator.

Job Responsibilities:

Guest Relations

  • Answers incoming calls for CARES School and connects caller to appropriate staff, deliver messages as needed.
  • Greet visitors, arrange meetings with students and staff.
  • Ensure that guests are aware of no smoking policy on campus.
  • Ensure that guests sign a confidentiality sheet and log in book.

Staff/Student Support

  • Complete daily attendance reports, send daily attendance reports to referral sources, contact guardian if needed.
  • Submit daily lunch count to cafeteria and pick up lunches.
  • Check and distribute incoming mail, handle outgoing mail as needed.
  • Mail notices, report cards, progress reports, etc. to parents as needed.
  • Coordinate external therapist schedule.
  • Execute monthly emergency drills.
  • Post upcoming School events on Notice Board weekly.
  • Records and maintains petty cash on a weekly basis.
  • Weekly charge receipts and payment requisition forms.
  • Oversee check-out of electronic devices.
  • Maintains a housekeeping supply/classroom inventory list, order as needed.
  • Take meeting minutes notes, maintain typed copies.
  • Monitors Environment of Care on a quarterly basis.
  • Check fire extinguishers capacity on a monthly basis.
  • Check students’ absences daily, make phone call to guardians of absent students, send notification to school districts of absences on a daily basis.
  • Maintain Material Safety Data Sheet binder.
  • Ensure maintenance needs are reported.
  • Handle transportation concerns for school day students.
  • Handle correspondence to school day parents/guardians.
  • Coordinate with staff, school districts and parents of emergency transportation situations ie: inclement weather.
  • Clerical duties.
  • Organize staff meetings/events.
  • Follows the appropriate chain of command when questions, issues and/or concerns arise.
  • Perform other duties as assigned.

Required Qualifications:

  • Must have a high school diploma and one or more years’ experience as receptionist.
  • Prior word-processing, computer, knowledge and experience a plus.
