Position Overview

  • The Administrative Business Coordinator will assist Principal in all financial matters. Oversee the coordination of all IEP meetings. Provide admission support to incoming students at CARES School. Responsible for maintaining positive interactions with families and referral sources. Oversee all petty cash, charge, and payment requisitions for accounting. Prepares and submits all official reports due by their deadlines to the Mississippi Department of Education.

Job Responsibilities:

  • Individualized Education Plan (IEP) Procedures

    • Works in conjunction with the IEP Team to determine the Least Restrictive Environment for the student based on all Federal and State Regulations (i.e. IDEA, OCR).
    • Oversee the coordination of all IEP meetings (annuals, review/revisions, ESY, transition meetings, and LRE) .
    • Ensure compliance with all MDE regulatory standards and the IEP.
    • Maintains school-related files (blue folders) for each student to include, IEP, assessments, progress reports, cumulative records and correspondences.
    • Coordinate meeting schedules between CARES staff, school districts, parents/guardians, external therapist and CPS for IEP/Revaluation Meetings; forward all documentation to appropriate parties after meetings.
    • Establishes a schedule for reevaluations, IEPs and other record keeping responsibilities.
    • Follows the appropriate chain of command when questions, issues and/or concerns arise.
    • Apprises all parties who have a legitimate educational interest in the student of meetings, concerns, progress and other issues and gets input from each interested party.
    • Establishes and maintains a cooperative and professional relationship with peers, support staff, parents, organization staff and school district personnel.
    • Conduct IEP Meetings as needed and accurately complete all required paperwork within the designated timelines.
    • Utilizes all available resource materials (i.e. Employee Handbook, MS website, Professional Code of Conduct, School and IDEA Policies, EOC Manuel etc.) to complete necessary paperwork, maintain professionalism and to avoid potential violations/noncompliance.
    • Cooperates with Federal, State, and Local Organization Personnel during special education and other compliance monitoring and /or dispute resolution activities.
  • Student Admission Process

    • Verify and submit monthly attendance reports (i.e., Billable Days Report).
    • Complete all admission paperwork with client/guardian.
    • Complete CPS student applications, collect all required documentation and submit to MDE, including discharges.

    Administrative Business Coordinator

    • Prepare and submit official reports including: Educable Child Project, State Department of Education Personnel. Reports (MSIS), State Department of Education Accreditation Reports, State Department of Education Extended School Year Application and ESY Payment Request.
    • Confirm financial status by monitoring revenue and expenses; coordinating the process of collecting quotes for contract services, (i.e., landscaping, cleaning, etc.) and making vendor recommendations to the Principal.
    • Meet financial objectives by forecasting requirements; assist in preparing an annual budget; monitor expenditures to stay within budget allocations; analyze financial activity; recommend corrective actions.
    • Research grant and other funding sources.
    • Write grant/funding proposals, manage implementation of grant specifics under funding program guidelines.
    • Seek new ways to improve efficiency and increase fiscal strength of the school.
    • Reviews, routes, answers and monitors follow up actions on external request for information (i.e., SSI Request, Student Info Request, etc.).
    • Maintain and update CARES School Program Manuel.
    • Develop spreadsheets as needed to increase efficiency.
    • Update EOC Manuel site specific information as needed.
    • Perform EOC monthly building and grounds inspections, schedule repairs and submit payment request.
    • Attends in-service programs, mandated trainings and self-directed workshops, conferences, courses, etc.
    • Read journal articles, investigates internet resources and collaborates with other professionals and/or mentors.
    • Create school calendar for upcoming school term, including organizing staff development events.
    • Supervise receptionist position.
    • Perform other duties as assigned.

Required Qualifications:

  • Bachelor's Degree required
  • Three (3) years of experience in a clerical position
  • Must be able to read, write, speak and understand English, and be able to communicate in a therapeutic and professional manner
  • Skills in word processing, school records management, computer knowledge, and basic accounting or bookkeeping required
