Canon Business Process Services, Inc. is Hiring a Records Support Specialist Near New York, NY

We are looking for a Records/IG Clerk who can manage and maintain firm records in compliance with the firm’s Information & Records Management policy and Information Governance best practices, to bridge the gap between compliance requirements and technical solutions. You will be responsible for creating, organizing, storing, retrieving, and disposing of records in various formats, both physical and digital. You will also ensure that our records are secure, accurate, and accessible to authorized users. This position will work with both the Records and Information Governance functions of the firm.

To be successful in this role, you should have excellent organizational, communication, and computer skills. You should also have a good understanding of the principles and standards of information governance, such as data protection, privacy, retention, and disposition. You should be able to work independently and as part of a team and handle confidential and sensitive information with discretion.

GENERAL RESPONSIBILITIES:

  • Create, classify, index, and archive physical and electronic records according to established policies and procedures to ensure easy retrieval and adherence to retention schedules.
  • Assist in the implementation, and maintenance of information governance policies, procedures, and standards.
  • Retrieve, update, and distribute records as requested by authorized users.
  • Maintain records management systems, databases, and inventories.
  • Assist with regular assessments and audits of information governance practices to identify areas for improvement and ensure continuous compliance under the direction of management.
  • Assist in providing training and guidance to staff members on information governance best practices, data handling, and records management.
  • Assist in the development and maintenance of documentation related to information governance policies, procedures, and incident response plans.
  • Implement and follow records retention and disposition schedules.
  • Secure and protect records from unauthorized access, loss, damage, or destruction.
  • Assist in responding to legal inquiries, e-discovery requests, and data breach incidents in collaboration with legal, compliance, and IT teams.
  • Collaborate with IT professionals to support the implementation and management of information management systems, including electronic records management, document management, and data classification solutions.
  • Provide customer service and support to internal and external stakeholders.
  • Provide administrative support for information governance activities as required.
  • Perform other records-related duties as assigned.
  • Other responsibilities as they may be assigned from time-to-time

PHYSICAL DEMANDS / WORKING CONDITIONS / MENTAL QUALIFICATIONS :

  • Intermittent physical activity including reaching, prolonged periods of sitting, bending, or lifting (up to 50lbs).
  • Mental qualifications include ability to perform all tasks assigned
  • Good organizational skills

MINIMUM QUALIFICATIONS:

  • A High School Diploma required
  • A college degree and technical training certifications preferred.
  • Certification in records management or information governance is a plus.
  • At least one year of experience in records management or a related field.
  • Knowledge of information governance concepts, practices, and standards.
  • Proficiency in Microsoft Office and records management software, such as FileTrail.
  • Attention to detail, accuracy, and consistency.
  • Ability to interact professionally with all levels of personnel within the firm.
  • Ability to communicate ideas both in a technical and user-friendly language.
  • Excellent time management and ability to prioritize and juggle multiple tasks.
  • Excellent listening, writing, and communication skills.
  • Excellent troubleshooting, problem solving, and analytical skills.
  • Must be flexible and available for overtime and on-call support.
  • Ability to problem solve with qualifying questions, assessing, and offering ideas or solutions to execute for resolution.
  • Must have strong familiarity with Excel, PowerPoint, Citrix, and other commonly used packages
  • Understanding of and demonstrated experience in customer service environment
  • Ability to interact professionally with all levels of personnel within the firm

Job Type: Full-time

Pay: $30.00 per hour
