Job Description

General Description: As a Medical Record Specialist at New Hope Fertility Center, you will play a crucial role in maintaining accurate and confidential medical records for our patients. Your responsibilities will include but are not limited to:

Essential Functions: Medical Record Management:

  • Organizing and maintaining electronic and paper medical records in compliance with regulatory standards and clinic policies.
  • Ensuring the accuracy, completeness, and confidentiality of patient records at all times.
  • Managing the release of medical information by HIPAA regulations and patient consent.Data Entry and Retrieval:
  • Entering patient information, medical history, test results, and treatment plans into the electronic health record (EHR) system accurately and efficiently.
  • Retrieving medical records as needed for patient appointments, treatment planning, and research purposes.
  • Updating records promptly with any changes or additions as per clinic protocols.

Quality Assurance:

  • Conducting regular audits of medical records to ensure compliance with internal standards and regulatory requirements.
  • Identifying and resolving discrepancies or errors in documentation promptly and effectively.
  • Collaborating with healthcare providers and administrative staff to improve record-keeping processes and maintain data integrity.

. Patient Interaction and Support:

  • Assisting patients with requests for their medical records, providing guidance on the release process, and addressing any concerns or questions they may have.
  • Communicating with patients, caregivers, and other healthcare professionals professionally and empathetically.
  • Upholding the highest standards of confidentiality and sensitivity when handling patient information.

Qualifications:

  • Associate's or Bachelor's degree in Health Information Management or related field preferred.
  • Certification as a Registered Health Information Technician (RHIT) or eligibility to obtain certification within a specified timeframe is preferred.
  • Prior experience working in a medical records or healthcare administration role, preferably in a fertility clinic or reproductive healthcare setting.
  • Proficiency in using electronic health record (EHR) systems and medical record software; experience with NextGen or similar platforms is a plus.
  • Strong attention to detail, organizational skills, and ability to maintain confidentiality.
  • Excellent communication skills and ability to interact professionally with patients and multidisciplinary healthcare teams.
  • Knowledge of HIPAA regulations and medical record management best practices.
  • Ability to multitask, prioritize workload, and work effectively in a fast-paced environment.
