Position Title: Mgr, Facilities

Reports To: Director, Real Estate & Facility

Department: Facilities

FLSA Status: Exempt

Job Summary: 

The Manager, Facilities will work closely with the Director of Real-Estate and Facilities to support all clinical operations activities and construction projects. This position will provide administrative support to the Facilities Coordinators. Internal Office functions shall consist of: Work Order coordination, Project Management database management, daily facilities operations, coordination of budgeting/accounting systems, maintaining office records, and working with local municipalities as needed. Under the supervision of the Director, this position will focus on procurement and project management for construction and facilities projects.

Essential Duties & Responsibilities: 

  • Work with the project management software platform for each activity performed
  • Schedule and ensure completion of small projects
  • Participle in creation of emergency preparedness plans.
  • Participate in the annual budget creation process.
  • Procurement of goods and supplies for Operations Team and Capital projects.
  • Manage the annual bid process for vendor contracts
  • Invoice management.
  • Oversight of the Asset Management Program.
  • Manage the CMMS system, including receiving work request, assigning work orders, entering system data, and providing the overall system administration.
  • Represent the Facilities Department in inter-departmental meetings to support and facilitate communication and action between departments.
  • Coordinate all Facilities activities, work direction, and support systems.
  • Travel to clinics and municipalities as required.
  • Perform minor repairs as-needed.

Supervisory Responsibilities: 

Supervise of Vendors and Contractors as directed.

Education & Experience: 

  • 5 years of medical clinic operational experience
  • Preferable with a construction or facilities background.
  • Intermediate knowledge of Microsoft Outlook, Word, Excel and PowerPoint.
  • Knowledge of construction a big plus.
  • Previous knowledge of CMMS platforms a big plus.
  • High School or Associates of Arts

Knowledge, Skills & Proficiencies: 

  • Skill in operating phones, personal computer, software and other IT systems.
  • Skill in oral communication
  • Ability to communicate with employees, patients and other individuals in a professional and courteous manner.
  • Ability to pay close attention to detail and to ensure accuracy of reports and data.
  • Fluent in English and Spanish

Tools & Equipment Used: 

Computer and peripherals, standard and customized software applications and tools, and usual office equipment.

Physical Requirements/Working Environment: 

This position works under usual office conditions. The employee is required to work at a personal computer as well as be on the phone for extended periods of time. Must be able to stand, sit, walk and occasionally climb. The incumbent must be able to work extended and flexible hours and weekends as needed. Physical demands include ability to lift up to 50 lbs.

Travel: 

Work may involve some driving/traveling to assigned clinics.
