RESPONSIBLE/REPORTS TO: Vice President Youth Development
MINIMUM QUALIFICATIONS:
- Must meet qualifications for Operations Director through Child Care Licensing
- At least 3 years of experience in a licensed after school program or child care center and knowledge of state and local requirements for child care centers
- Ability to work with a diverse group of youth and adults
- At least 3 years of supervisory experience
- Have and maintain a good driving record and reliable transportation
- Excellent customer service, oral and written communication skills
- Excellent organizational skills and problem solving ability
- High moral character and integrity
- Must be able to pass criminal background check
PREFERRED QUALIFICATIONS:
- Experience in multi-unit management
- Bachelor’s Degree in Child Development, Education, or a related field
- Experience in grant reports and grant oversight
- Experience in financial budgeting
- Bilingual preferred (Spanish)
ESSENTIAL FUNCTIONS:
- Hire, train and supervise staff, substitutes, and volunteers
- Coach Site Directors’ on leadership skills and increase engagement through staff development
- Communicate with families in a positive and professional manner verbally and through email
- Responsible for overall quality of programs and compliance with federal, state and local laws
- Develop and maintain positive professional relationships with school administration
- Develop marketing plans to maximize enrollment at Afterschool sites
- Organize and maintain accurate records and administrative systems
- Order supplies within budget for each program
- Manage multiple projects and competing priorities
- Accurately complete all reports and submit on time
- Attend all meetings and functions required by the position
RELATIONSHIPS:
- Reports directly to Vice President Youth Development
- Develop positive relationships with parents and students
- Collaborate with other community agencies, CCMS, FWAS, and school district personnel
- Interact with grant writers, funders, and board members to share program information
- Work cooperatively with Council staff
ACCOUNTABILITY: This position is responsible to the Vice President of Youth Development
KEY AREAS OF RESPONSIBILITY:
Program Operations
· Design and implement Afterschool programs to meet the unique needs of youth
· Visit Afterschool sites weekly and provide in the moment coaching and direction
· Evaluate program quality and effectiveness and update or improve programs as necessary
· Responsible for year-end financial results of assigned Afterschool programs
· Work with other departments at Camp Fire to support council-wide programs and activities
Human resources
· Recruit, hire, train, develop and manage staff
· Maintain accurate records and staff files that meet Licensing and Camp Fire standards
· Conduct annual evaluations and guide staff in goal setting and work/plan development
· Ensure compliance with Licensing and Council Policies and Procedures
· Provide formal and informal recognition of paid and volunteer staff
· Maintain positive, professional relationships with co-workers, school faculty, and families
Financial Operations
· Assess weekly enrollment and revenue reports, recognize successes, and make necessary changes to make budget
· Monitor payroll weekly
· Review income statements monthly and adjust spending as needed
· Complete p-card records accurately and on-time and manage expenses within budget.
Marketing and Public Relations
· Promote Afterschool programs with ongoing communication and participation in community events
· Provide the marketing team with photos and stories of student activities and successes
· Work with the marketing team to develop program marketing materials
Facility Management
· Monitor Afterschool program sites and maintain cleanliness and organization
· Maintain a clean and safe office space
· Notify Facilities Department of any needed repairs
General Responsibilities
Council Programs and Operations
· Participate in the Council Strategic Planning process through development of personal and departmental Annual Performance Appraisals/Work Plans.
· Maintain knowledge of all Council programs and operations.
· Provide assistance as needed concerning key areas of responsibility.
· Identify opportunities for donations and/or gifts in kind.
· Attend Camp Fire General Staff Meetings.
· Communicate regularly with supervisor about unusual events, special needs, participant concerns and suggestions.
· Be able to communicate program purposes and goals in the community
