This position will provide administrative support to the Palm Desert Department of Nursing, answering inquiries for all nursing programs, assisting with department events. Incumbent will provide assistance with student compliance and clinical onboarding.
Major duties and responsibilities
Student Support
The incumbent will answer all inquiries for all nursing programs. The incumbent will assist the department ASC in coordinating the department events. Assist with student permitting and registration, and removing registration holds when necessary. Incumbent will collect and file student academic and faculty documents in the nursing programs as directed by the Nursing Chair and/or program directors. Incumbent will provide administrative support to the nursing programs as directed by the Nursing Chair and/or program directors. Incumbent will maintain student files. Incumbent will maintain various accreditation and regulatory body documents as directed by Nursing Chair and/or program director.
Nursing Department Support
Incumbent will assist with on campus events held throughout the year at PD campus. Incumbent will manage mail pick up and distribution, copier, reserve rooms for meetings and final evaluations, submit duplicating requests, order textbooks, collect and archive class syllabi, collect and post faculty office hours, distribute pay warrants, act as secretarial meeting minute taker for department committees, type forms, letters and memos, and performing other clerical duties as assigned. Incumbent will assist department with keeping listservs current, removing graduating class twice a year, input new students as needed. Maintain alumni listservs. The incumbent will travel to SB campus as needed.
Palm Desert Campus Compliance Process
The incumbent will provide support to Assistant Program Director/ department with student compliance and clinical onboarding by entering data from the compliance tracker into excel/database; verify completion of student compliance forms, assist with clinical attestation forms, check for expired compliance documents.
Minimum Qualifications: Required Education and Experience
  • High School diploma or its equivalent AND two years of experience in general office clerical or secretarial work or the equivalent.
Required Qualifications
  • Experience to be proficient in performing most or all work assignments.
  • General working knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough knowledge of office methods, procedures, and practices.
  • Fluency in using standard office software packages.
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Ability to learn, interpret independently, and apply a variety of complex policies and procedures. Able to identify deviations from applicable policies.
  • Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
  • Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data.
  • Work often involves front line contacts with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills.
  • Demonstrated competence in effectively presenting standard information in writing.
  • Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.
Preferred Qualifications
  • Knowledge of PeopleSoft or similar enterprise-wide application, Microsoft Suite, Qualtrics, Google Drive, compliance management system is desirable.
  • Minimum associates degree minimum.
  • Minimum three (2) years of previous work experience in higher education.
  • Applicants demonstrate initiative in the workplace.
Compensation and Benefits
Anticipated Hiring Range: $1669 - $1800 per month (This is based on part time hours at 20 hours per week)
Classification Salary Range: $3,338 - $4,913 per month (This would be based on full time hours)
The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 14 paid holidays a year. Position Information:
Work status: Part time/Non-Exempt/Temporary (up to one year with the possibility of further renewal)
Schedule: Monday - Friday 8:00am - 12:00pm

Conditions of Employment
Background Check
Satisfactory completion of a background check (including a criminal records check) is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Drivers License Check
Possession of a valid Driver's License is required. Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.
