California Medical Business Services is Hiring an Accounting Assistant (30-32 hours/week) Near Arcadia, CA

This part-time Accounting Assistant position has a Monday-Friday, 30-32 hour/week schedule that is located at our Arcadia, CA business office.

In this vital role, the Accounting Assistant will process invoices and check requests, reconciles vendor & credit card statements. Will assist with the month end closing process by updating various spreadsheets. Provides clerical support to the Accounting Team.

Pay rate: $21/hour to $25/hour

What You Will Do:

  • Processes invoices and check requests for multiple entities, which includes coding general ledger account numbers, obtaining proper approval, assigning vendor numbers, matching invoices to purchase order and packing slip, and checking dollar amounts.
  • Process employee expense reimbursements and credit card statements
  • Places supply orders for the main office and provides ordering assistance to imaging centers
  • Maintains well-organized paid invoice and vendor permanent files.
  • Handles all problem calls or inquiries regarding invoices and payment requests.
  • Obtains W-9s as needed from vendors and assists with 1099 preparation
  • Reviews outstanding checks monthly and files unclaimed property reports with the CA State Controller’s Office.
  • Perform general office duties, which may include filing, scanning, and archiving documents.
  • Assists Accounting Director and Chief Financial Officer (CFO) with updating various spreadsheets and performing special projects as needed.
  • Maintains strictest confidentiality.
  • Performs related work as required.

What You Will Bring:

  • Must have a high school diploma or G.E.D.
  • Must have some college coursework completed.
  • Minimum of one year of office and customer service experience.
  • A minimum of 2 years of college coursework in accounting.
  • Knowledge of basic accounting principles and accounts payable practices.
  • Detailed, well-organized and meticulous.
  • Skill in use of computer and calculator.
  • Ability to examine documents for accuracy and completeness.
  • Ability to prepare records in accordance with detailed instructions.
  • Ability to work effectively with coworkers as a team member.
  • Ability to communicate clearly.
  • Must be very accurate with numbers and exercise good judgment.
  • Desire to do the job well.
  • Proactive, anticipate what is needed, and complete assigned tasks.
  • Proficient with Microsoft Office products (Excel, Word, Outlook).
  • Excellent communication skills.
  • Advanced knowledge of software and programs including, but not limited to, Microsoft Excel.
  • Ability to work effectively with minimal supervision.
  • Strong attention to details.
  • Must be able to communicate calmly, compassionately, and professionally with vendors and other outside contacts.
  • The ability to work effectively with other employees and maintain a cooperative working relationship intra-departmentally and inter-departmentally.
  • The demonstration of ethical and professional conduct, including the ability to maintain confidentiality (HIPAA).
