About California Coalition for Rural Housing (CCRH)

CCRH is a statewide nonprofit organization that works to ensure affordable housing opportunities for low-income households in California. Formed in 1976, CCRH is one of the oldest state low-income housing coalitions in the country. Through advocacy, community organizing, technical assistance, leadership development, research and education, our goal is to make the case for rural housing improvement and strengthen the capacity of the nonprofit and public sectors to provide affordable housing and related facilities.

Summary: The Administrative Associate assists with the day-to-day operations of the California Coalition for Rural Housing. This position will be responsible for managing the organization’s administrative & office functions, including maintenance and coordination of equipment, coordination of Board meetings, and scheduling coordination as needed. This position will also

provide administrative support to CCRH’s programmatic efforts, specifically to support our internship program for BIPOC students. 

This is a full-time, non-exempt position based in our Sacramento office and requires working in the office two days per week. This position reports to the Operations Manager.

Essential Duties and Responsibilities

 Organizational Administration (45% time)

  • Organize and manage the office’s supplies; place supply orders, as requested
  • Manage the office’s incoming mail and distribute to recipients, as appropriate
  • Maintain the organization of the office’s shared spaces
  • Maintain the office’s filing systems, including all financial files, grants and contracts
  • Assist staff with scheduling meetings, calendaring events, and travel arrangements
  • Supports Executive Director with Board meeting preparations including coordinating meeting logistics and compiling board packets
  • Manage communications contact lists for administrative programs
  • Assists with annual audit process, including filing compiling data in coordination with the Operations Manager, Deputy Director, and auditor
  • Responds quickly to administrative requests from CCRH staff, board members, vendors, and other parties

Programmatic Administration (45%)

  • Logistics and travel coordination for meetings, trainings, events – both in person and virtual
  • Calendaring, scheduling, and communications with Leadership Development program staff and participants
  • Drafting emails, letters, and other communications as needed.
  • Maintaining accurate records of program activities, expenses, and participants.
  • Inputting, organizing, and maintaining program documentation, including reports and spreadsheets.

Shared Office and Communications Responsibilities (10% time)

  • Assist CCRH is accomplishing its overall mission
  • Assist CCRH in improving internal and external processes for greater efficiency and effectiveness
  • Other duties as assigned

Requirements

Knowledge, Skills, Abilities:

  • Proven experience as an executive/administrative assistant or in a similar administrative role supporting senior management.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Planner) and other relevant software applications.
  • Excellent communication skills, both verbal and written, with the ability to interact effectively with individuals at all levels.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Ability to work independently with minimal supervision while also functioning effectively as part of a team.

Supervisory Responsibilities: This position does not include any supervisory responsibilities.
