Job Title Reception and Events Assistant (40 hours, 10 months) Posting Number S1369P Pay Range

This is a ten-month position with no work responsibilities in June or July. The compensation for this appointment will range from $18.00 to $22.50 hourly and reflects what California Baptist University reasonably expects to pay for this staff appointment. Actual compensation may vary based on the qualifications and experience of the applicant and market conditions. In addition to wages, CBU offers a robust suite of employee benefits.

Position Summary Information

Summary

Welcomes visitors and guests, answers phones, provides directions and information to visitors and callers, and otherwise relieves officials of clerical work and minor administrative and business detail by performing the following duties within the College of Health Science:

Essential Duties and Responsibilities

The following list comprises primary duties and other duties may be assigned.

* Serves as receptionist for the College of Health Science, greeting visitors to the Health Science Campus and providing information, directions, and materials.

* Assists with clerical and administrative duties for the CHS and its departments as assigned by the CHS Director of Academic Operations.

* Assist in the ordering and maintenance of supplies and equipment.

* Assists in coordinating meetings, agendas, and assignment of facility space.

* Processes and distributes incoming mail for the CHS.

* Prepares outgoing mail and correspondence, including e-mails and social media messages.

* Organizes and maintains file systems.

* Answers, screens, and returns telephone calls/messages for the CHS and its departments.

* Plans and implements activities and events within the CHS and its departments, such as welcome events, admissions events, campus tours, holiday and special events, hooding ceremonies, and more. Event plans must be approved by CHS DAO and Dean.

* Supports CHS's social media presence and activities, including managing accounts and preparing content.

* May prepare invoices and credit card transactions for Accounts Payable.

* Performs other duties as assigned by CHS DAO and/or Dean.

* Occasional nights and weekends may be required depending on the event schedule.

* This position will work ten months per year with no work responsibilities in June or July.

Supervisory Responsibilities

This position may be responsible for assigning work and/or giving direction to part-time Student Workers to complete office work assignments.

* Skill in using personal computers and related software applications, including MS Office suite, Google apps, publishing software, social media sites, and various university-specific applications.

* A thorough knowledge of Business English and arithmetic, general office methods, procedures, and practices.

* Ability to read and write at a level appropriate to the position's duties.

* Strong organizational skills and detail-oriented.

* Ability to relate positively and effectively with a diverse faculty, staff, and student body.

* Desire to work as part of a team, follow instructions, and make independent decisions when requested to do so.

* Ability to plan, develop, and coordinate multiple projects simultaneously.

* Ability to make administrative/procedural decisions and judgments, including time management and prioritization of projects.

* Ability to develop and maintain record-keeping systems and procedures.

* Ability to resolve stakeholder issues and concerns, and/or direct stakeholders to appropriate offices on campus.

* Ability to investigate and analyze information and to draw conclusions.

Education and/or Experience

Associate's degree (A.A.) or equivalent from a two-year college or technical school; and/or five years related experience and/or training; or equivalent combination of education and experience.
