Company Summary: Hudson Homes Management, LLC is a property management firm offering a full complement of services to the U.S. single-family residential market, including leasing and management operations, accounting and asset management. We are looking for driven and motivated people to join our team and be a part of our collaborative work environment! Position Summary: The Office Assistant provides administrative and office support to the Office Manager and office in order to increase organizational productivity and efficiency. Essential Functions: Support team consisting of Senior Vice Presidents, Managers, Office Manager, and Associates. Process expense reports and invoices; track progress of payments Screen incoming telephone calls & guests Prepare memorandums, e-mails, directives, letters, and responses to correspondence Open, sort, and distribute mail Gather and summarize Office Manager information requests Assist with coordinating arrangements for committee, board, or other meetings including (but not limited to): material duplication, refreshment/lunch coordination, room preparation Fill in for/assist Office Manager or fellow administrative assistants as needed Assist with maintaining the organization and cleanliness of the office space as a whole Unpack and organize supply orders as needed Develop PowerPoint presentations, tables, and charts Assist in spreadsheet design and management Provide support for special project work Assist with ad hoc office projects Required Knowledge, Skills and Abilities: Hard working, detail-oriented, and committed to producing great end results Excellent organization, follow-up and multi-tasking skills Excellent verbal, written and interpersonal communication skills Must have the ability to proactively anticipate needs Exceptional articulation and proof-reading proficiency Must display a flexible attitude and have the ability to manage change Must be both self-directed and a team player with a positive attitude Must have ability to handle confidential reports and information with discretion Education: High school diploma or equivalent required Bachelor’s Degree preferred Other Skills: 1 years administrative support experience Prior experience in a fast-paced, rapidly changing work environment required Proficiency in Word, Excel, and PowerPoint (Microsoft Office Suite) required Proficiency in Microsoft Outlook required Experience with Concur a plus Work Environment: This job operates in a professional office environment The hours for this position are generally Monday through Friday from 8:30 am to 5:30 pm.
