CA Aesthetics is Hiring a Front Desk Receptionist/Patient Coordinator Near Los Gatos, CA

Seeking an energetic, flexible and adaptable professional to join our small boutique plastic surgery office as a Front Office Medical Receptionist/Patient Coordinator. Experience in a medical setting is preferred and outstanding customer service skills are essential!

We are a small private office based in Los Gatos serving one surgeon, looking for a self-motivated, detail-oriented, warm and highly positive individual with exceptional communication and customer service skills. For the right individual, this is an opportunity to gain a full insight into the practice of plastic surgery and work in a multifaceted role .

Must have a passion for aesthetics, sales and customer service, and growing with us!

Responsibilities include, but are not limited to:

  • Patient liasion (in person, phone, e-mail, written)
  • Answering phones, screening calls to direct as appropriate and acting as first point of contact for patients, vendors and other physician offices
  • Ensuring incoming requests are dealt with timely (email, phone, fax)
  • Appointment scheduling and confirmation
  • Checking patients in and out and ensuring intake data is complete and accurate
  • Over the counter collections of fees for services
  • Maintaining patients charts electronically on our EHR
  • Maintaining the front office and inventory
  • Keeping an up-to-date knowledge of aesthetic services and practices
  • Submitting bills to insurance, obtaining authorizations for procedures, and
  • scheduling surgeries
  • Assisting the doctor with treatments/procedures
  • The ideal candidate is highly proactive with advocating for the practice via social media and word of mouth to build office reputation and clientele

The Candidate must possess the following skills:

  • Be extremely organized, confident, proactive and an excellent team player
  • Excellent verbal and written communication skills and love talking to patients!
  • Excellent computer skills (use of MS Word, MS Excel, Internet, Social Media, EMR systems such as Nextech or DrChrono, other Web-based applications)
  • Be comfortable in promoting the practice and assist in Social Marketing efforts

Beneficial:

  • Fluency other in another language such as Spanish, Mandarin, or Vietnamese
  • Experience in a plastic surgery / med spa / dermatology office
  • Experience with accounting and finance software, billing and payments
  • Familiarity with medical terminology
  • Familiarity with insurance billing and coding
  • Sales experience

Education:
To college level

Minimum 2 years

Schedule:
Flexible, part time 2-4 days between the hours of 9-6pm. Possibly some weekend work.

Hourly Pay: $18 - $25 Commensurate with experience
