We are seeking a dedicated and organized Administrative Assistant to join our dental office team. The ideal candidate will provide administrative support to ensure efficient operation of the dental office. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment. The Administrative Assistant will be responsible for handling patient inquiries, scheduling appointments, managing patient records, and assisting with various office tasks to contribute to the overall success of the dental practice.
Responsibilities:
· Patient Interaction: Greet and welcome patients in a courteous and professional manner. Answer phone calls, schedule appointments, and manage patient inquiries efficiently. Provide exceptional customer service to ensure patient satisfaction.
· Appointment Scheduling: Coordinate and schedule patient appointments according to availability and scheduling protocols. Manage appointment calendar effectively, ensuring optimal utilization of appointment slots.
· Patient Records Management: Maintain accurate and up-to-date patient records, including personal information, medical history, and treatment plans. Ensure compliance with patient confidentiality regulations (HIPAA) at all times.
· Billing and Insurance Processing: Assist with billing processes, including verifying insurance coverage, processing insurance claims, and coordinating payment arrangements with patients. Collaborate with the billing department to resolve any billing or insurance-related inquiries.
· Office Administration: Perform general office duties such as filing, copying, scanning, and faxing documents. Order office supplies and maintain inventory levels to ensure adequate stock. Assist with maintaining cleanliness and organization of the reception area and office space.
· Support to Dental Staff: Provide administrative support to dental staff as needed, including assisting with patient procedures, managing patient flow, and facilitating communication between staff members.
· Financial Transactions: Handle financial transactions, including collecting payments from patients, processing payments, and reconciling daily financial reports. Ensure accuracy in financial transactions and maintain proper documentation.
· Follow-Up and Reminders: Follow up with patients regarding appointment reminders, treatment plans, and necessary follow-up visits. Communicate effectively with patients to ensure understanding of recommended treatments and appointments.
Qualifications:
· High school diploma or equivalent; additional certification in office administration or related field is a plus.
· Proven experience in administrative roles, preferably in a healthcare or dental setting.
· Proficiency in using office software applications (e.g., Microsoft Office Suite, dental management software).
· Excellent communication skills, both verbal and written, with the ability to interact professionally with patients and staff.
· Strong organizational and multitasking abilities, with keen attention to detail.
· Ability to work independently as well as part of a team in a fast-paced environment.
· Knowledge of medical/dental terminology and procedures is advantageous.
· Familiarity with HIPAA regulations and patient confidentiality practices.
