Description

The Project Coordinator plays a critical role in supporting and coordinating projects for our project management team. Essential Duties: 

Project Planning and Execution

  •  Monitor project progress, identify risks and issues, and report to project lead in a timely manner.
  •  Communicate with internal teams to ensure project milestones are achieved on time.
  • Solicit updates from project leads and update project management tool on a regular basis to ensure milestones and deliverables are met.
  • Aide project lead in developing and maintaining comprehensive project plans for assigned projects.
  • Draft project meeting agendas.
  • Coordinate and schedule regular project status meetings.
  • Take detailed notes and meeting minutes. Thoroughly document and distribute notes and minutes in a timely manner.
  • Provide overall administrative support for the project to ensure its success.
  • Take initiative in learning company’s project management tool, Kantata. 

Client Relationship Management

  • Foster a strong understanding of project scope and clients' needs.
  • Prepare correspondence and reports for clients as requested.
  • Communicate project updates to clients as requested by the project lead or manager.

Team Collaboration

  • Collaborate with cross-functional project teams, providing administrative support to ensure achievement of project goals.
  • Review and report on tasks, priorities, and team performance via project management tool to ensure timely and high-quality project deliverables.
  • Foster a positive team environment, promoting knowledge sharing, continuous improvement, and professional development.
  • Monitor internal departmental collaboration, for example, finance, HR, and operations, and communicate with project managers in order to ensure seamless project execution.
  • Participate in post-project evaluations to identify lessons learned and areas for improvement.

Documentation and Reporting

  • Maintain accurate project documentation, including project plans, meeting minutes, action items, and status reports.
  • Create project reports as requested.
  • Contribute to the development and enhancement of project management methodologies, templates, and best practices.
  • Ensure security and protection of all sensitive project data, including but not limited to client proprietary information, private health information (PHI) and non-public personal information (NPI).

Requirements

Required Skills:

  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong communication and interpersonal skills.
  • Analytical mindset, with the ability to identify problems in a timely manner.
  • Attention to detail and a commitment to delivering high-quality work. 
  • Microsoft Office and project management software and tools (e.g., MS Project, Excel, Word, PowerPoint).
  • Ability to adapt role to the organization’s evolving needs.

Education and Experience:

  • High School Diploma or GED
  • Minimum 2 years’ experience working in business administration, project management, or a related field within a professional setting.
  • Possess a working knowledge of project-based management.
  • Experience working in a collaborative team environment.
