Responsibilities:
- Answering phones and routing calls with precision and professionalism, especially during peak call times when call volume is high. Document and report on call volumes and resolutions to enhance efficiency.
-Retrieve, scan, and sort mail daily ensuring all invoices and letters are appropriately disbursed and processed.
-Taking bank deposits to the bank daily
- Assisting with sorting and distributing mail promptly and accurately.
- Welcoming walk-in traffic as necessary and directing them appropriately, ensuring a positive experience for all visitors.
- Providing administrative assistance to key team members regarding materials purchased, employee reimbursements, and utility payments/tracking.
- Collaborating with colleagues to organize and prioritize items needed within the organization among different divisions and groups, fostering seamless operations.
- Handling communication with the Accounting Team regarding invoices, payments, and utility bills.
- Managing vehicle registration renewals and all zone parking permits efficiently.
-Assisting with receipt reconciliations and vendor invoices promptly and accurately to maintain positive vendor relationships.
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience in administrative support roles, with a track record of success.
- Exceptional organizational skills and attention to detail.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Professional demeanor with a positive attitude and willingness to adapt to changing priorities.
- Previous call center experience is highly preferred, with the ability to handle an average of 40-60 calls per day during peak periods.
