Description

Job Title: Programs & Membership Coordinator

Salary: $15.50 per hour

Hours: up to 29 hours per week; non-exempt employee

Reports to: School Based (SB) Club Director

Location: Port Saint Lucie School Location

1. JOB PURPOSE

The Boys & Girls Clubs of St. Lucie County (BGCSLC) takes changing the lives of youth to heart. We go above and beyond to ensure that every youth that walks through our doors has a world class club experience that provides them with the opportunity for a GREAT FUTURE!

The primary functions of the Programs & Membership Coordinator are to provide assistance in the designated school based clubhouse with member services, including regular and clerical administrative support, while establishing and maintaining relationships with personnel and parents. This position is also responsible for ensuring the successful daily operation of BGCSLC programs, including program quality, youth development, and club member/staff supervision as needed.

2. DUTIES & RESPONSIBILITIES

The duties and responsibilities are, but not limited to:

· Demonstrate leadership and professionalism to club members, staff, and volunteers

· Ensure quality in day-to-day programs and activities

· Assist the SB Club Director to increase visibility of Club programs via posting daily schedules, announcement of upcoming events ensuring all areas are covered by staff

· Greet all members and visitors in a professional and courteous manner

· Check for accuracy and completion of membership applications, including daily attendance; Contact any members that are not in regular attendance

· Enter membership applications into the Vision database program daily

· Prepare and issue all membership ID numbers in a timely manner

· Produce periodic statistical reports on membership applications, attendance, dues, fees, etc.

· Responsible for the collection of fees and completion of deposit slip

· Answer phones promptly and professionally, provide accurate information, take a messages as necessary and forward to current personnel

· Maintain electronic and hard copy filing systems while making sure they are accurate, timely, and easily retrieved as needed; Make photocopies of documents as required

· Inform members, visitors, and parents of all the program options the Club has to offer

· Maintain thorough knowledge of all activities within the building and answer questions that may be directed with reference to the Club’s policies and procedures

  • Communicate to supervisor any pertinent contact from family, school, or significant others.
  • Follow policies and procedures in responding to emergencies and/or safety issues.
  • Promote and participate in open and effective communication and support with the team.
  • Treat all clients, parents, guardians, co-workers, supervisors and people in the community with respect and dignity.

OTHER DUTIES & RESPONSIBILITIES

· Actively participate in mandatory Club trainings and All Staff meetings

· May oversee special programs and/or events (e.g. Torch Club, Youth of the Year, and Awards Programs), and/or participate in the implementation of other Club activities as necessary.

· May be required to drive Club van.

· Travel between sites and to activities as needed

· May consult with parents concerning member and site issues.

· May handle deposits and banking transactions.

· Clean area as needed at the end of day

· Fill in at a Club as needed

· Other related duties as specified by the School Based Club Director.

3. QUALIFICATIONS

BACKGROUND SCREENING

· Must submit to and pass Level 2 background screening through the Florida Department of Children & Families.

· Must pass pre-employment drug test

Certifications

· Current CPR/First Aid certification preferred

EDUCATION / EXPERIENCE

High School diploma or GED with at least one (1) year of office clerical experience is highly preferred

  • Ability to handle multi-phone lines effectively
  • Proven ability managing multiple priorities; strong organization, detail and process management orientation
  • Working knowledge of office machines and equipment, e.g. fax machines and photocopiers
  • Strong proficiency with computers, data base entry and with full Microsoft Office suite, email, and internet
  • Excellent written and verbal communication skills; above average interpersonal skills
  • Ability to read, analyze, and interpret data and information and apply appropriate judgment
  • Passion for providing extraordinary customer service and work with people at all levels

Travel

Some travel may be required for training and/or other business purposes.

4. Working conditions

Our offices, neighborhood clubhouses and school-based clubs are fast-paced work environments and are strategically located in areas of St. Lucie County where youth need us most. Based on the organization's needs, flexibility to work different schedules and work in different locations in St. Lucie County is required due to changing business demands.

5. PHYSICAL DEMANDS:

· The usual and customary methods of performing the job’s functions require the following demands: some lifting, carrying, pushing and/or pulling, stooping/kneeling, reaching with hands and arms, and finger dexterity.

· This position requires extended talking, listening, sitting, walking, and standing; computer viewing, and keyboard entry. Regularly lifting up to 25 pounds.

· Daily operation of personal motor vehicle relevant to carrying out job duties is required for this position.

· Ability to think strategically and ability to sit for more than four hours per day.
