Boylston Staffing is looking for an Executive Assistant for a University in Boston. This is a 3 month temporary assignment.
The Executive Assistant will provide comprehensive support to the Senior Leadership Team, ensuring efficient office operations and effective administrative support. This role requires a dynamic individual capable of managing a wide range of administrative tasks, anticipating needs, and addressing daily challenges. The ideal candidate will excel in a fast-paced environment, delivering high-quality service to both internal and external stakeholders.
Will provide executive support to senior and executive level managers, including the Vice President/Chief Information Officer.
Will exercise significant independent judgment to identify and resolve potential conflicts and streamline processes.
Will manage administrative tasks with minimal supervision, ensuring priorities are met.
Will Respond promptly to scheduling requests and changes, coordinating meetings, appointments, and complex travel arrangements.
Will manage complex calendars and schedule appointments, calls, and meetings.
Will prepare materials and briefings as needed based on daily agendas.
Will coordinate with various stakeholders to gather necessary information and materials.
Will maintain accurate paper and electronic files.
Will organize events, including town halls and professional functions.
Will manage logistics for events involving senior management including catering, room reservation and setup, A/V setup, and materials/supplies needed.
Will coordinate conferences, speaking engagements, and committee work.
Will arrange seminars and professional development activities.
Will learn and follow all departmental procedures, policies, and operations.
Will track expenditures, prepare financial reconciliations, adhere to budgets for event planning and expenditures.
Will review, route, and monitor follow-up actions on correspondence.
Will provide wide-ranging support, including composing and editing letters, memoranda, and presentations.
Will utilize multiple office applications, including word processing, database management, spreadsheets, and presentation software.
Will arrange complex travel itineraries.
Will prepare and process expense reports using SAP Concur and Buy2Pay.
Will review corporate and purchasing card transactions.
Basic Qualifications:
Must have superior organizational and communication skills.
Must have proficiency in MS Office applications and various digital platforms.
Will have experience with Zoom, Slack, internet search engines, and basic website maintenance.

Pay: $35.00 - $38.00 per hour
