Operations Manager

Bonnier, LLC, the premier organizer of enthusiast events is seeking an experienced Operations Manager to manage live events in Off-Road, Car and Outdoor Sports verticals. Reporting to the Vice President of Operations, this role oversees the event operations for assigned events in the portfolio.

The Operations Manager is responsible for the logistical planning and event operations, including, but not limited to site selection, contract negotiations, on-site logistics, and post-event wrap-up.

Responsibilities include:

  • Work closely with the event team to determine the correct city, venue and scope of each event.
  • Responsible for site inspections, site selections and contract negotiations.
  • Hotel relationship management. Negotiates for any variances in the contract (i.e., attrition clauses or cancellation and re-booking with hotels).
  • Reviews venue license agreements to ensure that the dates, times, leased space and equipment provided are accurate and that contractual provisions are fulfilled.
  • Directs the show services staff and contractors in delivering services for meetings, presentation and events and resolves event-related problems.
  • Coordinates efforts of caterers, decorators, audio-visual, meeting services staff, etc., when organizing set-up requirements and client specifications.
  • Experience with live outdoor events and venues (i.e. State Fairgrounds, Outdoor Venues).
  • Management and coordination of all event logistics for assigned events.
  • Estimates equipment, labor and service needs.
  • Ensures all floor plans meet Fire Marshall requirements for each facility.
  • Creates exhibitor manual with contractor including all internal forms as well as decorator pricing in coordination with Exhibitor Services Dept.
  • Contributes and reviews all pre-event and on-site exhibitor communication, including booth selection assignment, customer support, etc.
  • Coordinates onsite security, including hired security, facility officers and follows existing emergency plans with security manager.
  • Produces and maintains accuracy of vendor work orders (i.e. staffing, security, F&B, structures, furniture, AV, etc.).
  • Produces and maintains accuracy of signage and on-site placements.
  • Manages inventory for exhibit hall and meeting space.
  • Obtains and maintains accuracy of floor plans, renderings.
  • Responsible for budget forecasts and analysis, pre-planning for assigned event operations.
  • Handles all contract negotiations with related vendors (AV, decorator, security, signage and services).
  • Responsible for all post-event invoice reconciliations.

Qualifications

  • Four-year college degree preferred, 4-5 year’s event planning experience.
  • Experience in Live Events.
  • Ability to travel 25-30% of time.
  • Ability to work in a deadline-driven, fast-paced environment.
  • Excellent written and verbal communication skills.
  • Detail-oriented multi-tasker with excellent organizational skills.
  • Work in a team environment, pro-active, relationship building customer service focused, take charge problem solver with outgoing personality.
  • Ability to effectively create and manage expense budgets for the venue and related sales support costs for each meeting.
