SUPERVISORY RESPONSIBILITY
None
POSITION SUMMARY – The Lease Administrative Specialist will provide lease administrative support to the Land Acquisition and Real Property Division. ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES
Abstracting and interpreting commercial lease documents (leases, amendments, subleases).
Rent variance analysis and rent payment processing.
Administrative responsibilities including A/P processing, filing, contract administration and tenant relations.
Resolution of rent and other landlords/tenant issues.
Reviewing annual landlord reconciliation statements, real estate tax calculations and CAM/OpEx and other escalations & real estate tax invoices to ensure accuracy and ensure compliance with the GASB 87 accounting standard.
Data entry, validation, and management of lease documents.
Tracking and maintaining lease critical dates.
Review client agency new project or funding certifications, COI compliance.
Subtenant account management, and billing/collections of third-party tenant rents.
Manage and implement changes to Lease administration system.
Assist with and develop key performance metrics (KPI) and management reports.
Assist client agency with budget formulation [Zero based budgeting approach].
Confirm agency allocations & square footage and create budget for annual, quarterly, or monthly forecasting.
Work with client agency to analyze real estate requirements, including lease renewals, expansions, improvements, estoppel certificates, and assist with recommendations to management.
Submit year end accruals.
Facilitate the receipt of any outstanding invoices.
Ensure that all known liabilities for services rendered during the fiscal year get submitted.
Support real estate strategy and interface with office, county/building owner's property /asset management representatives.
Special projects as assigned by Division Manager.
MINIMUM QUALIFICATIONS
Must have a minimum of 2-5 years of relevant experience in commercial (office, retail, or public sector) real estate lease administration.
Must be knowledgeable of GASB 87 accounting standard.
Must have working knowledge of developing KPIs.
Must have experience creating budgets for annual, quarterly, or monthly forecasting.
Expertise in understanding and interpreting complex commercial lease language.
Advanced proficiency in Microsoft Office (Word, Excel, and Outlook) with the capability to master the county's specific [SAP, AssetWorks] accounting and lease administration software [MRI, Yardi, or TRIRIGA].
Exceptional attention to detail, credence to customer services, and organization skills.
Ability to understand and interpret data regarding operational issues.
Excellent verbal and written communication skills.
Ability to work independently and within a team to build relationships and interact effectively with client agencies.
Ability to multitask, work successfully under pressure and effectively manage time and workload.
A desire to work within a diverse, collaborative, and driven professional environment.

TERM OF CONTRACT
One (6) month fixed price contract with one (1) six (6) months option
PERIOD OF PERFORMANCE
The anticipated period of performance shall extend from June 2023, through Friday, December 29, 2023.
EDUCATION
High school degree or general education degree required, the ideal candidate will have a bachelor's degree in finance, Business, Accounting, Real Estate and at least 7 years of work experience in the commercial real estate industry, lease administration, accounting, or property management.
PHYSICAL, MENTAL, AND ENVIRONMENTAL CONDITIONS
Must have the use of sensory skills to effectively communicate and interact with other employees and the public using the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to a, personal computer, calculator, copier, and fax machine. No significant climbing, stooping, kneeling, crouching, reaching, s
tanding, walking, pushing, pulling, lifting, grasping, and repetitive motions.
CONDITIONS OF EMPLOYMENT
Must be legally authorized to work in the United States of America. Sponsorship will not be a part of this contract.
