Overview:
We are seeking a highly organized and detail-oriented Office Coordinator to join our team. The Office Coordinator will be responsible for managing administrative tasks, coordinating office operations, and providing support to various departments within the organization.
Operational
- Primary liaison between all local municipalities and the company.
-Communicate with local municipalities, tenants, and other departments to solve township related and compliance issues.
-Obtain documentation needed to maintain company compliance such as rental license renewals and township mandated documentation.
- Manage office supply inventory and placing orders as needed to maintain adequate stock levels.
- Record initial phone answering message and changing the message for office closures.
- Coordinate monthly all staff lunches and birthday celebrations.
- Help to set up workstations for new employees, including phone and computer.
- Liaison between IT vendor and company on technical issues.
- Assist with additional projects as needed.
- Open and close office at beginning and end of workday.
Front Desk Coverage
- Answer incoming phone calls and route as needed.
- Sort and distribute inbound mail and emails.
- Print and mail letters.
-Ensures timely responses to phone messages and emails.
- Provide administrative support to various departments as needed
- Coordinate meetings, conferences, and events
Experience:
- Previous experience in an administrative or office coordination role is preferred
- Proficiency in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with phone systems and other office equipment
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent communication skills, both written and verbal
- Attention to detail and problem-solving abilities
