Job description
Blind Ambitions is seeking the right candidate for a Bilingual Administrative Assistant position. The right candidate will represent our company, fulfill the warranty scheduling needs of our clients on a daily basis, and provide administrative support to the office and scheduler.
Daily duties will include:
- Assist with answering a large volume of emails via MS Outlook and answering phone calls and texts.
- Communicating effectively with builders and customers regarding their appointment times, via email, phone, text, and automated communication portals.
- Creating appointments using our online scheduling system.
- Scheduling installers to complete warranty appointments in a timely and customer-friendly manner.
- Reviewing purchase order documents and reconciling them against measure sheets.
- Communicating to builders any issues that may arise and resolving them.
- Performing administrative tasks such as running reports for the warehouse, scanning, filing, and other duties as needed.
Job requirements are:
- The ability to multi-task in a fast-paced environment and adapt to frequent scheduling changes.
- Excellent organization, as you will work in multiple software applications throughout the day, on multiple monitors and browser tabs.
- Excellent attention to detail, including proper spelling, capitalization, and grammar, as you will be representing our company in your day-to-day communication with our clients.
- A logical understanding of how to work with files in MS Outlook and keep emails filed correctly, along with keeping jobs noted with all relevant correspondence.
- Excellent personal, phone, and email etiquette.
- Solid customer service skills, including a desire to help others and the ability to remain courteous and professional under pressure.
- Strong computer and internet knowledge, including at least intermediate skills with MS Outlook, MS Excel, and MS Word, and typing of at least 45-50 WPM.
- Punctuality and dependability to be at work. Start time is at 7:00 AM.
Approximately 90% of the day will be spent fulfilling CSR duties, with the remaining 10% providing administrative support to the office.
At least 1 year of dispatching/scheduling experience and customer service experience is required.
