Role Summary:

OVERVIEW:

The Executive Assistant reports directly to the General Manager and Executive Team – responsible for close collaboration with them as well as the property’s operational leads to support key business initiatives and guest needs. :

DUTIES AND RESPONSIBILITIES:

Fully understand the roles and responsibilities of each Executive team member:

Exercise discretion and confidentiality with sensitive company information:

Develop and maintain relationships with ownership executives, investors, company associates, key vendors and the property’s Club members:

Administrative Tasks:

Schedule and manage the General Manager’s calendar :

Originate, organize and maintain documents pertinent to the property’s operations :

Transcribe accurate meeting notes and distribute as needed :

Respond and/or direct inquiries (phone, email) appropriately about the property :

Arrange travel (accommodations, transportation, itineraries) for the General Manager, ownership and company executives :

Spearhead holiday planning and execution (decor, guest communication):

Manage TrustYou platform :

Fulfill administrative duties as directed by Talent & Culture team (during slow/off season) :

Guest Support :

Provide additional support for Guest Services team:

Serve as a point of contact for VIP clients, address their requests and coordinate amenities :

Coordinate property tours for VIP clients and other notable guests :

Greet VIP clients as directed by General Manager :

Review and respond to online reviews daily :

Management of Property’s Members-only Club :

Serve as the primary point of contact for members of the property’s Club :

Maintain and update membership list:

Plan, organize, implement and host Club events :

Participate in and support other property events members attend:

Gather information and updates to write monthly newsletters.:

QUALIFICATION REQUIREMENTS:

Required:

Minimum of 2 years experience in an Administrative or Assistant role:

Highly effective multi-tasker in a fast-paced environment :

Exceptional communicator both written and in person :

Experience with the Google platform (documents, email, calendar) :

Desirable:

Hotel and/or Hospitality operations experience:

Bi-lingual:

Keen attention to detail :

Creative thinker and writer :

Familiar with Microsoft Office and Opera systems :
