The Bibb County School District is now accepting applications for an Administrative Assistant.
Summary Description of Classification: Under direction, performs varied and responsible office and secretarial work for an administrator and staff at the department level. The class consists of positions serving as principal office support for administrators at the department level or equivalent. Positions deal with non-routine matters requiring research, investigation or analysis, and knowledge of departmental issues. Employees exercise considerable initiative by anticipating requirements of administrator and staff for information, assembling information for reports coming due, and tracking events or situations to keep administrator and staff informed.
Knowledge, Abilities and Skills:
To perform this job successfully an individual must be able to perform each essential duty satisfactorily.
The requirements listed below are representative of the knowledge, skills and/or abilities required.
  • Performs responsible secretarial, bookkeeping, and clerical functions such as data entry, typing, filing, record keeping, composing letters, maintaining budgets, and compiling information and reports.
  • Operates a variety of office equipment including, but not limited to, the following: personal computer, fax machine, typewriter, copy machine, calculator, and telephone.
  • Demonstrates ability to work under pressure and handle deadlines.
  • Demonstrates ability to deal courteously and diplomatically with school employees, vendors, and the public.
  • Demonstrates ability to establish and maintain effective working relationships with personnel in the schools, communities, and partner organizations.
  • Demonstrates ability to communicate clearly and effectively, both orally and in writing.
  • Demonstrates ability to perform work requiring accuracy and attention to detail.
  • Demonstrates excellent organizational skills.
  • Demonstrates skill utilizing technology (i.e., both hardware and software) to meet a wide range of office requirements (i.e., minimally all Microsoft Office programs, scanning software, etc.).
  • Maintains prompt and regular attendance.
Education, Training and Experience: Associate degree or equivalent from a two-year college or technical school or five (5) years of related experience and/or training; or equivalent combination of education and experience. Training in personal computing sufficient to perform complex word processing tasks and to possess a working knowledge of spreadsheets and databases.
Duties and Responsibilities:
  • Assists with all federal program meetings (agenda preparation, documents needed, reservations of rooms and facilities, etc.) for the purpose of implementing necessary processes to ensure effective meeting agenda.
  • Assists with audit (e.g. information and documentation gathering, etc.) for the purpose of providing necessary records and information needed for audit.
  • Assists with budget development and revision (e.g. grant summary reports, grant amendment worksheets, quarterly expenditures reports, reconciliation of actual expenditures, etc.) for the purpose of ensuring accuracy of budget and complying with District, State, Federal guidelines and regulations.
  • Compiles data from a wide variety of sources (e.g. expenditures, payroll, time sheets, calendars, expenditures/budget, internet research, inventory orders, etc.) for the purpose of preparing reports, making recommendations, and preparing information for the department.
  • Coordinates a wide variety of processes for expenditure of funds from state and federal programs (e.g. requisitions, purchase orders, verification of receipt of goods/services, batch purchase orders for payment, recording of expenditures on federal fund spreadsheets, travel arrangements, etc.) for the purpose of completing scheduled processes following guidelines and regulations.
  • Maintains a wide variety of manual and electronic documents files and records related to state and federal funds revenue for the purpose of providing up-to-date information and historical reference in accordance with established administrative guidelines and legal requirements.
  • Monitors a wide variety of activities (e.g. grant program components, meeting arrangements, account balances, work order status, etc.) for the purpose of achieving goals and meeting target dates in compliance with established guidelines and regulatory requirements.
  • Oversees the work activities within the office and provides training for the purpose of organizing assignments, monitoring progress, and ensuring completion within established guidelines.
  • Participates in a variety of meetings, workshops, and training for the purpose of providing or receiving information, recording minutes, and supporting the needs of the attendees.
  • Prepares a wide variety of reports, documents and correspondence of a confidential and non-confidential nature (e.g. letters, memoranda, meeting minutes, timesheets, payroll, recommendation for employment forms, budget amendments, annual budget, charts, periodic and ad-hoc reports, grant procedures, etc.) for the purpose of documenting activities, providing historical reference, and conveying information.
  • Responds to a wide variety of inquiries from internal and external parties (e.g. staff, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and providing
  • Supports assigned administrative personnel for the purpose of providing assistance with their functions and responsibilities.
SALARY/TERMS/BENEFITS:
1. 239 day work year; 8 hours per day.
2. Salary Range: $22.85 - $25.76 hourly (Grade 52) (placement on salary schedule based on years of allowed related experience). Up to ten (10) years allowed. The stated salary range reflects the opportunity for pay over the course of the employee's tenure. The top salary is not a potential starting salary.
