BetterPet Urgent Care is Hiring a Client Service Representative Near Mechanicsville, VA

Job Summary

  • The CSR’s main responsibility is to be accurate, cheerful while maintaining a smooth, well-planned, and orderly flow of clients and patients.

General Accountabilities

  • Greet clients and pets by name.
  • Keep a calm presence in stressful situations.
  • Direct patients to the emergency services via phone triage if applicable for the patient’s condition.
  • Monitor patient stability in the lobby and be able to identify and triage critical patients.
  • Inform clients of expected waiting time based upon current caseload.
  • Maintain the appearance and cleanliness of the waiting room, reception area, client restroom and exam rooms. Help maintain cleanliness of all other areas when needed.
  • Report any required repairs to the appropriate person. Communicate with the practice manager when repairs are needed and when they are completed (in the PM absence).
  • Restock and maintain inventory of front lobby products, office supplies, client education materials, hospital brochures, etc.

Job Qualifications

Phone

  • Receive incoming calls on a multi line system.
  • Screen and direct calls to appropriate doctors and/or staff members.
  • Record complete phone messages and place them on the doctor’s message board.
  • Complete follow up calls on urgent care patients.
  • Ensure that records are sent to primary care / referring veterinarians within 24 hours.
  • Respond to routine medical care questions.

Files and Correspondence

  • Review client charts for complete information including patient history form, client contact information, and any other relevant history forms.
  • Update patient record.
  • Prepare condolence cards and other correspondence for the doctor or practice manager signature.
  • Complete consent forms and verify client and patient information, enter and attach info into EzyVet.
  • Provide client education materials.
  • Fax/email patient records at client request.
  • Use the EzyVet software system to accurately and efficiently search for information.
  • Handle incoming and outgoing mail and email.

Financial responsibilities

  • Enter payments into EzyVet accurately.
  • Process cash and credit card transactions.
  • Reconcile payments daily.

Veterinary Skills/Experience

  • Familiar with common illnesses, be able to identify potential contagious disease and follow appropriate isolation protocols.
  • Ability to obtain relevant patient history and triage urgent cases appropriately.
  • Identify patients requiring emergent medical intervention and communicate appropriately with medical staff.
  • Communicate sympathetically with clients experiencing varying ranges of emotional distress, euthanasia.

Previous experience working in a veterinary clinic or equivalent veterinary setting required. Emergency/urgent care experience strongly preferred.

Job Type: Full-time

Pay: $17.00 - $18.00 per hour

Expected hours: 40 per week
