Description

Role Overview:

As a vital member of Best Roofing’s construction operations team, the Project Coordinator is responsible for providing comprehensive administrative support to Project Managers and Construction Managers. This role ensures the smooth execution of all assigned projects from initiation to completion, facilitating effective communication and coordination among all stakeholders.

Core Focus:

The Project Coordinator plays a crucial role in maintaining the workflow of construction projects, ensuring all preparatory and operational tasks are efficiently managed. The focus is on streamlining project execution, enhancing client satisfaction, and supporting the construction team in achieving excellence in Safety, Quality and Productivity.

Key Responsibilities:

  • comprehensive administrative support to Project Managers and Construction Managers throughout all phases of assigned projects, following the 31 Steps of a Construction Project as outlined in Best Roofing University.
  • and actively participate in Best Roofing University learning sessions to stay updated on industry standards and company procedures.
  • the proper utilization and storage of all required forms and documents, maintaining organized records on the company server for future reference.
  • in the setup of projects in FCS for the Service Department, ensuring smooth project initiation.
  • and document Step 11 Pass Off from Sales to Construction Operations, uploading meeting minutes to SharePoint for documentation.
  • Step 16 Pass Off from Project Management to Field Operations, ensuring seamless transition and proper documentation.
  • and organize folders in SharePoint and Company Cam containing Final EDGE documents and signed contracts.
  • assist project entries in Company Cam and create necessary field folders, ensuring all documentation is accessible to the project team.
  • new follow-up Project Management entries based on sales data, maintaining accurate project records.
  • accurate behavioral dates on FollowUp PM software, facilitating effective project scheduling.
  • the registration of warranties for all projects, ensuring compliance with manufacturer requirements.
  • manufacturer that project has been completed to proceed with scheduling warranty and manufacturer inspections, coordinating with relevant stakeholders for timely completion.
  • the Construction Manager in achieving successful warranty and manufacturer inspections, providing necessary support and documentation.
  • "Thank You" letters from Project Managers to include with project Close-Out documentation.
  • and create Close-Out Books, ensuring all required documents are included.
  • the hand off the Close out books for delivery to clients, collaborating with the Marketing, Business Development or Sales Account Exec team as needed.
  • and file the Notice of Termination (NOT) upon receipt of final payment, completing project closure procedures.
  • any additional duties as assigned, contributing to the overall efficiency and success of the construction operations team.
  • OPM reports for Project Managers to review and send to clients.
  • and submit for approval to Project Managers the Subcontractor Pay Applications
  • up on Accounts Receivable transactions.

Skills & Experience Requirements:

  • verbal and written communication skills; bilingual (English/Spanish) proficiency is a plus.

  • in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiar with construction management software.
