Executive Assistant (SAL 08)


Summary:

Responsible for executive administrative functions in the Finance Office including accounting and recordkeeping of split interest agreements, electronic imaging and indexing, answering and directing telephone calls, maintaining calendars, scheduling conference rooms, distribution of mail, sending/receiving fax transmittals, filing, prepares correspondence and spreadsheets. Functions in this capacity for the Vice President for Finance, Controller, and from time to time the Vice President for Operations and Sustainability and Legal Counsel. Other duties as assigned.

Minimum Qualifications Required:

Education required to ensure success in this position:

  • H.S. Diploma, or equivalent, required
  • Vocational Training in Secretarial Courses, required

Experience required to ensure success in this position:

  • Several years’ experience working as a secretary in a fast past office environment

Special skills, knowledge and abilities:

  • Ability to operate various office equipment
  • Basic accounting
  • Advanced proficiency in Word processing (Microsoft Word) and intermediate proficiency in spreadsheet (Excel).
  • Ability to operate under the stress of time constraints

License, certification, or registration necessary:

  • Notary public

Physical requirements:

  • Mostly sedentary work
  • Must be able to maneuver around campus and campus buildings.
  • Ability to lift small items, usually not greater than 20 pounds.

Environmental conditions:

  • Office setting

Ability to operate the following vehicles or equipment:

  • Standard office equipment: computer, calculator, printers, fax machine, copier

Primary Duties and Responsibilities:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Regular and predictable attendance is essential. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
  • Responsible for preparing gift annuities, trusts, unitrust, pooled income and revocable gift contracts (split interest agreements).
  • Prepares journal entries to record split interest agreement transactions.
  • Works as a liaison between annuitants and TIAA Kaspick by keeping TIAA Kaspick. apprised of any changes on each annuitant’s record.
  • Responsible for maintaining reports on new annuity contracts, deceased annuitants and annuities funded by stock gifts for current fiscal year.
  • Responsible for reconciling office annuity reports and journals with general ledger on a monthly basis.
  • Periodically reconciles outstanding annuity and trust checks.
  • At fiscal year end, responsible for preparing the Annuity Fund-Actuarial Value Report and various other annuity reports in preparation for the annuity report section in the financial statements.
  • Responsible for maintaining records and reports on all bequests received from estates and trusts that the College is named as a beneficiary.
  • Responsible for maintaining records and processing sales of securities received as gifts.
  • Responsible for typing, reproduction and binding of the annual financial statements, budget book and other financial and statistical reports prepared by the Vice President for Finance.
  • Responsible for all document imaging and maintaining those records.
  • Assisting the Operations and Sustainability Office with Board of Trustees meetings when needed.
  • Responsible for tracking College-owned life insurance policies.

Other roles/duties will be assigned as necessary to assist the College in the attainment of the goals set forth and the enhancement of a positive, respectful learning environment for all staff, faculty and students.
