Baldwin Risk Partners is Hiring a Facilities Project Manager Near Tampa, FL

The Facilities Project Manager works with local office leaders and BRP IT, Marketing, Accounting, Real Estate, Legal, other supporting functions, and vendor partners to ensure that each assigned project delivers a positive working environment for colleagues, clients, and visitors. The Facilities Project Manager is responsible to ensure the efficient delivery of facility specific projects and services as required, managing small project teams to execute office build outs, upgrades, moves, opening, closings, consolidations, security badge systems installations, signage replacements and other facility projects. Up to 50% travel to oversee projects for, and conditions of, assigned facilities.
Essential Duties and Responsibilities:
  • Assists the Facilities Manager (FM) with executing assigned projects, managing from inception to successful and timely completion
  • Assists in the definition of facilities project scope, budget, timeline, and objectives, involving all relevant stakeholders
  • Performs risk management to forecast and minimize project risks
  • Manages and recommends changes to project scope, project schedule and project costs as needed
  • Develops spreadsheets, diagrams, and process maps to analyze and document facility needs, and processes as required
  • Maintains a project portfolio including a breakdown of each initiative and how they line up from a priority perspective
  • Measures project performance and results using appropriate tools and techniques, providing regular reports as required
  • Ensures furnishings and equipment for each assigned facility are in proper working order and available for use
  • Ensures projects deliver a safe, clean, and functional office environment which meets local and federal regulations
  • Establishes and maintains positive working relationships with relevant third-party vendors and service providers working on assigned projects
  • Drafts and implements preventive maintenance schedules for buildings and equipment as required upon completion of each project
  • Ensures safety standards are followed in the execution of projects
  • Reviews construction plans and drawings to ensure accuracy to meet specified requirements
  • Coordinates execution of BRP functions related to each project to include IT infrastructure, security system, design and dcor, furniture, and other specified BRP tasks
Skills & Experience Desired
  • Proven successful experience managing multiple facilities construction projects simultaneously is absolutely required
  • Proven ability to successfully review project scopes of work, plans, drawings, construction schedules, estimates and preparing construction budgets is required
  • Excellent organizational skills with high detail is required
  • Excellent interpersonal skills, ability to communicate and connect with multiple levels of leadership, inside and outside the Firm, is required
  • Excellent diplomatic communication skills, verbal and written, that are clear, quick, and concise is required
  • Demonstrated experience working with and coordinating external facilities and/or construction vendors is required
  • Demonstrated ability to understand and evaluate problems and present viable solutions is required
  • Proven ability to work as a team with a results-driven approach is required
  • Intermediate experience with Microsoft Excel, Word, PowerPoint and Outlook is required
  • Proficiency in project management software tools is preferred

Special Working Conditions:
  • Located in Tampa. In office at the BRP HQ 5 days per week for first 6 months when not traveling for a project. Hybrid schedule possible thereafter.

  • Up to 50% travel may be possible

  • Reviews and analyzes operational responsibilities, timelines, and stakeholders to focus on long term success
  • Performs risk management to minimize and forecast project risks
  • Establishes and maintains a relationship with third parties/vendors
  • Manages and recommends changes to project scope, project schedule and project costs as needed and communicates to leadership as required
  • Develop spreadsheets, diagrams, and process maps to document needs as required
