B&B Concrete is Hiring an Office Manager / Construction Administrator (FT) Near Phoenix, AZ

This position serves as overall Manager of the Support Services offered by the Regional office.
Responsibilities include Office Manager, Construction Admin, and Assistant PM duties. Typical
responsibilities for each of the roles are listed below.
Office Management Duties:
  • General Office Management duties to keep office running smoothly and all Regional Employees efficient and productive. Specific tasks could include the following:
  • Help/Assist other office employees
  • Track/Report Field Time
  • Order Office Supplies when supply is low
  • Coordinate housing, apartments, hotels as needed within the region.
  • Collect/Scan New Hire Packets and all items needed to STL Office
  • Set up MISC Drug Test & Fit Test w/ STL Office
  • Check mail daily, disperse appropriately
  • Office Employee Onboarding
  • Training Programs Documentation
  • Communicating with team
  • Be able to excel in communication with multiple types of people.. clients office field employee subcontractors be able to prioritize tasks and importance
  • Excellent MS Excel skills
  • Self Starter - Passion to continually seeking to learn
Project Admin Duties
  • Provides project document coordination and recording throughout the Construction and Closeout process.
  • Point Person for construction documents including drawings, sketches, specs, contracts and change orders, etc.
  • Logging these documents into PM Web and distributing to the Project Team Members.
  • Type, assemble, organize, file, distribute, etc., Project Meeting Minutes, Submittal Packages,
  • Drawings, Specs, RFIs, Contracts, Change Orders, Purchase Orders, etc.
  • Create and maintain Distribution Lists in PM Web
  • Enter new companies and update company information in PM Web as necessary.
  • Assist in format and content of project specific reports as requested.
  • Follow up with General Contractors, Designers, Subcontractors and Suppliers for submittals, executed contracts and change orders, etc.
  • Assemble and submit the closeout documents to the owner and to archive.
  • Maintain organized and detailed project record electronic filing of documents and email correspondence.
  • Additional duties as assigned by Regional VP of Operations
Assistant PM Duties
  • Assist the project teams in whatever means is necessary in order to lighten the load on Project staff.
  • This could include creating and submitting RFI’s, Quantity tracking, Quantity Logging, Time
  • Approval/Reporting, Production Tracking, Log updating, help with Cost reporting/forecasting,
  • Invoice Approval, Pay Applications, PO/Subcontract Issuance, etc.
  • Assist in developing efficient procedures and methods of collecting and presenting project data for Region.

  • Breaks down problems into smaller components, understands underlying issues, can simplify and process complex issues, understands the difference between critical details and unimportant facts.
  • Plans for and uses resources efficiently, always looks for ways to reduce costs
  • Is attentive to detail and accuracy, is committed to excellence, looks for improvements
  • continuously, monitors quality levels, finds root cause of quality problems, owns/acts on quality problems.
  • Communicates expectations and importance of safety. Follows up and insures safety audits are completed accurately and timely. Identifies critical issues and assists in the development of improvement procedures.
Education/Experience/Attributes/Requirements:
  • 5 years of experience in Office Manager/Construction Administration/Assistant PM work preferred
  • Basic/General knowledge of construction contract administrative process
  • Willingness desire to learn the concrete construction trade as well as desire to grow within the
  • Excellent problem-solving skills, with an adaptable and flexible style in working with all types of individuals
  • Energetic and highly motivated with a strong sense of urgency
  • Highly entrepreneurial and self-motivated, with the ability to work equally well on own as well as in a team environment.
