DUTIES & RESPONSIBILITIES
- Support S&MA Director and staff leadership with daily operational tasks
- Provide strong S&MA Division program management skills for multiple personnel
- Ability to always maintain a high level of confidentiality and integrity
- Able to multi-task and work independently with minimal supervision
- Plan meetings and have strong documentation/notetaking skills
- Attend various Review Panels and Control Boards, generating business and techmical minutes, action item tracking, Program Report statuses, etc.
- Coordinate division activity/progress reports using various software applications such as Jira and Confluence.
- Ability to generate executive level documents, presentations and spreadsheets using Microsoft Products such as Excel, Word, PowerPoint, and Project
- Must be proficient with Domestic and International Travel arrangements
- Prepare and maintain technical report documentation, expense reports, division communications, emails, memos, and correspondence
- Create detailed spreadsheets and executive level presentations
- Assist and support other departments within the division including technical documentation management, presentation, reports, travel arrangements, calendaring, correspondence, and other duties as needed
- Assist with catering for meetings and events, as well as set up and breakdown of meeting room
- Ability to have flexibility with long hours and able to shift hours when Director and/or staff leadership travel Internationally
- Assist in setting up facility tours and extended meetings with agendas and catering
- Ability to independently problem-solve
- Ability to run off-site errands
- Perform other duties as assigned

Education & Experience
- Experience within the Aerospace Industry preferred
- 8-10 years’ experience in technical administrative assistant role
- High school diploma or equivalent
- Proficient knowledge of Windows based computer and Microsoft desktop applications (Excel, Word, PowerPoint, Project)
- Experience working with various software applications, such as Jira, JAMA, Confluence, and is a plus
- Strong skills in organizing, multi-tasking, and prioritizing work activities
Essential Functions
Work Environment: Generally, an office environment, but can involve inside or outside work depending on the task.
Requirements
- Must be able to complete a U.S. government background investigation.
- Management has the prerogative to select at any level for which the position is advertised.
- Proof of U.S. Citizenship or US Permanent Residency is a requirement for this position.
Physical Requirements
- Work may involve sitting or standing for extended periods (90% of the time).
- May require lifting and carrying up to 25 lbs. (5% of the time).
- Work will involve operation of office equipment and machines
- Interface and use standard office equipment (PC, telephone, printer, etc.).
