ATOCO, Inc. is Hiring an Admnistrative Assistant Near Foothill Ranch, CA

Atoco, Inc. is a US-based startup company founded by the distinguished scientist Prof. Omar Yaghi, the founder of reticular chemistry and the inventor of MOF and COF chemistry. Atoco is currently working on commercializing technologies in the fields of atmospheric water harvesting and CO2 capture, thus well positioned to mitigate some of the most severe implications of climate change globally. Atoco is positioned where Greentech meets Nanotech.

We are seeking a highly motivated, proactive, efficient and organized Administrative Assistant to join our team and support our business operations. In this position, you will provide general administrative support, be the initial point of contact for all employee matters and lead the administrative responsibilities to maintain a professional work environment in our offices.

Location: Foothill Ranch, CA

Reports To: VP of Administration & Finance

Duties and Responsibilities Include:

· Provide support in several areas, including general office, administration, human resources and sourcing.

· Maintain positive and professional staff and client relationships; welcome and greet employees, clients and office guests.

· Answer phones in a professional manner and direct calls to appropriate persons or take detailed messages.

· Monitor and respond to emails, inquiries and requests in a timely fashion.

· Manage incoming and outgoing mail, packages and deliveries.

· Maintain and update electronic and hard copy filing systems.

· Serve as the primary point of contact internally for all employee matters.

· Manage the onboarding and offboarding of employees and keep records of required employment documents.

· Assist with maintaining the Employee Handbook by performing periodic reviews and updates to maintain local compliance.

· Assist in maintaining and enforcing HR policies and procedures.

· Assist in posting job openings on different platforms, responding to applicant inquires and perform basic screening of job candidates.

· Manage office vendors, such as facilities management, utility companies, and others.

· Perform basic accounting data entry and keep accurate records.

· Assist in sourcing, purchasing, and tracking material from vendors to support the needs of staff members and the company’s operation.

· Maintain office supplies by checking inventory, ordering and re-stocking as needed.

· Maintain purchase records to support the accounting team in the monthly reconciliation process.

· Maintain the highest level of discretion and trustworthiness; often be part of and have access to confidential information for both employees and company.

· Act as a role model in representing the company’s values and commitment to excellence.

· Performs other duties as assigned from time to time.

Education & Experience:

· Associate degree or recent college graduate preferred.

· Minimum three (3) years experience in a similar role providing administrative support.

Skills & Requirements:

· Excellent verbal and written communication skills with demonstrated ability to write correspondence and policies.

· Excellent computer skills including use of Microsoft products: Word, Excel, and PowerPoint.

· Experience with calendar management and scheduling software (e.g., Microsoft Outlook, Google Calendar).

· Working knowledge of the ADP HR platform.

· Basic knowledge in QuickBooks system and familiarity with basic accounting principles and bookkeeping tasks.

· Working knowledge of office equipment, like printers and scanners.

· Ability to multi-task to support in various administrative projects.

· Exceptional attention to detail and accuracy with high analytical skills.

· Ability to work independently.

Job Type: Full-time

Pay: $23.00 - $25.00 per hour

Expected hours: 40 per week
