Description

Job Summary:

The Human Resource Representative will assist with complex and specialized HR tasks and run portions of the daily functions of the HR department with guidance and oversight from the HR Manager. This broadly includes reviewing job applications, screening candidates, setting up interviews, maintaining applicant tracking system (requisitions and candidates), communicating with divisional managers, assisting with administering leaves of absence and benefits, performing record-keeping tasks, assisting in maintaining company policies and practices, and any other HR-related tasks as requested by the HR Manager. This position will perform tasks and services to support effective and efficient operations of the organization’s HR department, may perform administrative duties for the Executive Director or Accounting Manager as needed, and may assist divisional managers with marketing and social media initiatives as needed.

Duties/Responsibilities:

  • Maintains accurate and up-to-date human resource files, records, and documentation. Maintains the integrity and confidentiality of these human resource files and records.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to HR Manager or Executive Director.
  • Provides clerical support to the HR department, with additional support to the Executive Director and Accounting Manager, as needed.
  • Conducts or assists with new hire orientation. Communicates with IT and parking deck personnel to ensure onboarding materials are provided to new hires.
  • In conjunction with the HR manager, performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately (may include I-9 audits, EEO-1 filings, and other compliance reviews).
  • In conjunction with the HR manager, assists with planning and execution of special events such as open benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • In conjunction with the HR manager, assists with internal organizational branding initiatives, employment surveys, employee review campaigns, and maintenance of communications on intranet platform.
  • Assists in tracking and documenting compliance with mandatory and non-mandatory training, continuing education, and work assessments in conjunction with HR manager and divisional managers. This may include safety training, anti-harassment training, professional licensure, and aptitude exams and certifications.
  • In conjunction with the HR manager, assists in the hiring of qualified job applicants for open positions by: acquiring requisitions for job postings from managers, posting jobs through Paylocity, screening candidate resumes and performing phone screens for qualified candidates, sending qualified candidate resumes to managers, and setting up candidate interviews with managers.
  • In conjunction with the HR manager, assists with onboarding candidates by sending offer letters, acquiring references, sending other pre-employment screening consent forms, and initiating onboarding process in Paylocity once satisfactory screening results have been returned.
  • As needed, assists with routine tasks required to administer and execute human resource programs including but not limited to compensation, benefits, and leave.
  • As needed, assists with disciplinary matters; disputes and investigations; performance and talent management; productivity, recognition, and morale; occupational health and safety; and training and development programs.
  • Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance. Refers questions regarding compliance to HR Manager, as needed.
  • Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
  • In conjunction with the HR manager and divisional managers, assists with external marketing initiatives and social media campaigns by providing guidance and ideas and assisting with operations when needed.
  • Performs other duties as assigned.

Requirements

 Required Skills/Abilities:

  • Proficient with Microsoft Office Suite or related software.
  • Proficiency with or the ability to quickly learn the organization’s HRIS and talent management systems, experience with Paylocity is a plus.

Education and Experience:

  • Associate’s degree in Human Resources, Business Administration, or related field required, Bachelor’s preferred.
  • 2-3 years of office or customer service experience highly preferred, with at least one year in human resources preferred (but not required for consideration).

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Must be able to access and navigate each department at the organization’s facilities.
