Job Summary

As part of our continued growth and commitment to excellence, we are seeking a talented Executive Assistant join our team in for a hybrid /in person position in our Roswell, Georgia office.

As part of our dynamic team, the Executive Assistant to the Chief Legal Officer will assume a central position encompassing administrative, office management, and technology-driven responsibilities. We're on the lookout for an individual who can adeptly manage the Chief Legal Officer’s work email, calendar, conduct research with precision, and is proficient in Microsoft Suite (Word, Outlook, Excel, PowerPoint, SharePoint, & Teams) with the ability to learn new technologies quickly. Responsibilities:

Executive Support

  • Manage CLO’s calendar, including scheduling appointments, meetings, and events, while prioritizing conflicting demands.
  • Cross-departmental coordination with leadership of HR, Customer Experience, and Marketing and Communications team.
  • Coordinate travel arrangements, including flights, accommodations, and transportation, ensuring efficiency and adherence to budgetary guidelines.
  • Assist in client relations by effectively communicating and maintaining relationships, demonstrating professionalism and responsiveness.
  • Project manage special assignments, including client projects, ensuring timely delivery and adherence to quality standards.
  • Act as a liaison between the executive and internal/external stakeholders, handling inquiries and requests promptly and professionally.
  • Organize and maintain confidential files, documents, and records, exercising discretion and confidentiality at all times.
  • Provide administrative support, including drafting correspondence, preparing presentations, and managing expenses.
  • Conduct research and compile data as needed to support decision-making and project initiatives.
  • Proactively identify opportunities for process improvement and implement efficient solutions.
  • Handle ad-hoc tasks and projects as assigned, demonstrating flexibility and adaptability.
  • Collect, sort, and distribute mail.

Legal Support

  • Entering contracts into contract management tool, docket and track termination dates and renewals.
  • Assist with administrative activities, including tracking contract status, filing, and organization.

Office Management

  • POC for landlord and alarm company.
  • Extending and accepting invitations, preparing meeting agendas, and arranging meeting rooms, equipment and refreshments as required.
  • Organize and prepare for meetings, including gathering documents and attending to logistics.

Event Planning

  • Plan, coordinate and cohost events.

Experience/Skills

  • Advanced computer skills (Microsoft Office 365 including Outlook, SharePoint, and Teams) Zoom, and Monday.com with the ability to learn and master others.

Education

  • College Degree required with a preference for a degree in business administration.
  • At least three years of executive, administrative or related experience; or any equivalent combination of education, training and experience which provides the requisite knowledge, skills, and abilities for this job, required.
