Description :
This candidate will be the assistant to the Account Manager. They will also be responsible for approximately 20 inbound calls, and 25 outbound calls per day.
The outbound calls will be placed to carriers letting them know that their cargo is ready and scheduling pickup.
The candidate will be utilizing Microsoft Excel, Outlook, and Word daily to communicate with team members and create invoices so they must basic to intermediate knowledge of these programs
Work Hours are M-F from 8am-5pm with a lunch break from 12pm-1pm
Key Responsibilities :
1. Supports Account Managers in meeting the customer's needs.
2. Enters customer orders and quotes into the computer system.
3. Keeps up with orders status and keeps track of all open customer orders.
4. Responsible to keep those open order reports current.
5. Processes Return Authorizations and cases handles customers claims with our QA department.
6. Obtain Proof of Deliveries / Proofs of export for every order shipped.
7. Preparing all documents for export merchandise (commercial invoices and packing lists, certificate of origin, SEDs, SLIs, etc)
8. Coordinates with freight forwarders.
9. Works extensively in Microsoft office 365 - EXCEL.
10. Aids in general clerical work such as correspondence & filing.
11. Send out order invoices to customers after an order has been shipped. Load Invoices in web-platforms and follow up registration for payment.
12. Literature distribution
13. Setup of new items in the system
14. Other tasks as assigned

Additional Skills & Qualifications :
This candidate must be bilingual (Spanish and English). They must have 2-3 years of administrative experience. Any export / freight / scheduling experience would be a plus.
