Association Acumen is Hiring a Member Services Coordinator Near Menomonee Falls, WI

General Summary

The Member Services Coordinator is a key relationship conduit between the association and professionals in the industry, providing administrative, program and project management support to Association Acumen clients with a focus on membership and program management. While this position reports to one person, you will work closely and most often with your client team(s).

Essential Job Functions

Membership and marketing support: Coordinate membership and marketing activities for association clients to include customer service support for members via email and phone, produce group billings and membership invoices, maintain and update membership databases, enter new contacts, monitor processes, run reports, and contribute to improvements. Assist with organizing efforts that attract and retain members, including the development of recruitment and retention plans and drafting and sending member communications, with maintaining the website, social networks, and rosters. Contribute to content management plans. Assist with other membership and marketing functions, as necessary.

Meeting/Program Support : Assist with coordinating, planning, and executing client meetings and programs. Set up events in the online registration system(s); process registrations and payments; print name badges and tickets; register speakers, sponsors, and exhibitors; run registration lists; assist with meeting planning activities such as speaker coordination and communications, run pre and post-meeting reports; and assist with electronic and print promotions, website management, social media promotions, social event organization, venue coordination, and other event promotions assistance. Provide customer support; answer event and registration inquiries via phone and email.

Committee and volunteer support: Serve as staff liaison and primary support to client committees and task forces, as assigned. Participate in conference calls and meetings. Record and distribute minutes.

Database management : Maintain accurate and hygienic databases, add new contacts, monitor processes, run reports, contribute to improvements, and assist with conference and other event registration. Implement and process certificates. Back up the website and database monthly and lead annual database integrity project.

General administration : Support client teams by drafting correspondence, coordinating conference calls and meetings, compiling research, and maintaining files. Write copy and minutes; participate in editing and proofing processes. Professionally answer, screen, and forward incoming phone calls as appropriate while providing essential information and assisting with member renewals and conference registration.

Office management: Greet office visitors with a smile, open and distribute incoming mail and special deliveries, and prepare mailings.

Financial administration : Process payments, code checks, and provide invoices and payment confirmations as requested.

Provide support for other duties and projects, as requested.

Additional qualities we seek in an ideal candidate are an associate or bachelor’s degree or a minimum of three years in an office environment, including experience communicating with external parties and supporting more than one person. Association management experience is a plus.
