ESSENTIAL FUNCTIONS FOR ACCOUNTING POSITIONS

Book Keeper

Overview

  • Maintain a Portfolio of Rental/Commercial books.
  • Responsible of handling each properties books, treasury, AR, GL and producing monthly financial statements.
  • Reconciliation of accounts
  • Loan & Escrow accounting

The positions in the accounting department require certain basic skills of every employee. There are basic functions that must be performed by all positions. All accounting positions report directly to the VP of Finance & Accounting.

ESSENTIAL SKILLS - ALL ACCOUNTING POSITIONS:

EDUCATION

Associate Degree or College level Accounting Courses

Or equivalent experience

COMPUTER SKILLS

Basic Keyboarding

MS EXCEL

MS WORD

Basic familiarity with computer software functions

E-mail (MS Outlook)

File backup

OTHER SKILLS, FUNCTIONS OR REQUIREMENTS

Possibility of working overtime hours, particularly first quarter of the year

Organize time and work area effectively

Flexibility to work independently or as a team to meet goals & deadlines of the individual and the department

Operate standard office machines including fax, copier, and 10 key

Lift normal office products including cases of copy paper, full banker’s boxes, etc.

Drivers license with available transportation

Scheduling skills for daily & monthly tasks

Professional communication skills, both verbal and written

Punctuality and adherence to attendance policies

ESSENTIAL SKILLS - ACCOUNT MANAGERS/Book Keeper:

BASIC ACCOUNTING SKILLS

Knowledge of Debits and Credits

Knowledge of standard accounts types

Knowledge of standard accounting reports

Analyze financial records to prepare journal entries

Essential Accounts Receivable skills

Essential Accounts Payable skills

Keep accurate daily bank balances for multiple accounts

Budget monthly cash balances to anticipate requirements

OTHER SKILLS, FUNCTIONS OR REQUIREMENTS

Explain accounting procedures and policies to other company employees

Assist other employees in accounting related issues

RESPONSIBILITIES AND ESSENTIAL FUNCTIONS OF ACCOUNT MANAGERS:

DAILY

Monitor and maintain “in” flow of paperwork and email

Maintain bank balances for multiple accounts

Monitor bank funds to mail checks being held for funds

Review General Ledger for accuracy of A/P and A/R postings

Process essential checks

Computer backups

Assist property managers with software or General Ledger inquiries and problems

Analyze and forecast cash requirements, current period and future periods

MONTHLY

Bank reconciliations for every account

Reconcile A/R to G/L

Analyze financial reports for missing or incorrect data, correcting prior to distributing report

Timely completion of monthly financial reports, including mailing by 15th

Reconciliation of Reserve & Savings Analysis each month

Copy, sort & mail reports

Filing closing reports, correspondence, etc.

Set up new bank accounts as necessary

Reconcile suspense (clearing) accounts

Reconcile security deposit liability accounts

Set up new properties on software and gather required data

Follow up on how to resolve missing or incorrect data with on site or mgmt. personnel

Track workers comp information on vendors paid

ANNUALLY

Prepare final financial statements for CPA compilation, audit or tax return

Box all current year information & paid bills

Prepare new files for coming year

Reconcile necessary accounts at year end, ie. mortgages, escrows, etc.

Analyze escrow accounts for coming year to determine cash needs

Qualifications


Property Book Keeper Wanted for multiple properties with AMCS, a local Real Estate Property Management Company. Must be skilled in MS Outlook, Word, Excel, Must be detail-oriented and have great customer service skills. Health/dental insurance, vacation, sick, and 401K plan.
