FINANCIAL SECRETARY
Job Desciption
PRINCIPAL FUNCTION:
The financial secretary is responsible to the pastor for the maintenance of the church’s financial records and reports.
QUALIFICATIONS:
1. Cannot be a member of this church.
2. Must be a person with a good reputation and standing in the community.
3. Attention to detail / organized.
4. Must have computer and bookkeeping experience.
5. Must possess knowledge and experience with Church Management Software.
6. Must be able to keep confidences.
7. Must exercise tact, courtesy, and diplomacy in receiving callers, personal or telephone.
8. Communicate well both in writing and verbally.
9. Work harmoniously with other staff members.
10. Completed and approved background check.
RESPONSIBILITIES:
1. Assist with the annual stewardship promotion to include preparing copies of budget and mailing promotional materials.
2. Knowledge and use of Church Management Software, preferred.
3. Prepare, copy and compile all financial reports for monthly business meeting.
4. Issue checks when authorized.
5. Post receipts and disbursements of all accounts according to financial system.
6. Post offerings weekly to individual accounts and file envelopes.
7. Prepare bank reconciliation statements monthly.
8. Post contributions to membership weekly; print and mail-out quarterly and annual contribution reports.
9. Prepare weekly financial sheets for undesignated funds.
10. Prepare financial reports for the monthly business meeting.
11. Prepare monthly, quarterly and annual government reports. Review with pastor or church treasurer.
12. Check/total all invoices when approved, and inform responsible persons of their expenditures.
13. Receive and answer inquiries concerning financial matters; maintain file of invoices, correspondence, and reports.
14. Obtain pastoral approval prior for all external inquiries concerning financial/legal matters of church.
15. Prepare and distribute checks to staff members, designations, and organizations in accordance with church policy.
16. Verify the weekly teller’s report; prepare and make the weekly deposit.
17. Serve as a resource person to provide financial information as requested by church staff, treasurer, and/or the Stewardship Committee.
18. Work closely with the treasurer in receiving, accounting and disbursing funds.
19. Inform the pastor of any trends or changes in fiscal matters.
20. Provide back up to church secretary as directed by the pastor.
21. Maintain hardcopy or scanned copies of receipts and records necessary for any audit of church financial records.
SCHEDULE:
16 hours per week with approved flexibility of hours to include Monday-Thursday: 9 AM - 1 PM.

Pay: $12.00 - $19.00 per hour
