Arms Acres is Hiring a Human Resources Specialist Near Carmel, NY

Description

Arms Acres, Inc. is looking for a HR Specialist to join our HR team in Carmel, NY. The HR Specialist will assist with the administration of the day-to-day operations of the HR functions and duties. Job duties include:

1. Supports the recruitment activities for all Arms Acres sites, inpatient and outpatient; including requisition, posting jobs internally, and maintaining and ensuring the accuracy of the current open positions report. 

2. Coordinates scheduling and materials for the Open Positions meeting; attends outpatient Directors' calls as requested. 

3. Ensures all job postings for union positions are maintained and posted per timings identified within the union contract. Manages opening and closing of requisitions. 

4. Manages the Onboarding System as part of the overall Human Resource Information System. Manages forms, packets, and information requested through the Onboarding System. Responsible for candidate management, and final entry for submission to the HRIS within the onboarding module. 

5. Responsible for supporting onboarding processes including pre-authorization; not limited to reference checking, background and employment screening, and salary recommendations for manager approval.
6. Responsible for verbal and written offer letters, including tracking returned documents and file management

7. Manages the scheduling of orientation; including manager notification, new hire confirmation, policy, and regulatory sign-offs. Conducts orientation for managers/delegates who cannot attend an orientation
8. Compiles employee files and submits them for review to the Director. Ensures employee access to computer network systems.
9. Ensures all healthcare requirements including Flu, PPD, and BLS are current by sending reminder emails to respective employees and managers. Arrange for onsite BLS as needed.
10. Receives, reviews for accuracy, and approves all invoices for pre-employment physicals and testing. Processes check requests promptly.

11. Assists managers and employees with questions and concerns regarding open positions, job postings, and Human Resource related matters. 

12. Initiates the three-month calendar process for inpatient and outpatient staff per the Union Contract. Receives final, approved calendars from the various departments and maintains master records of the calendars.

Requirements

One (1) to two (2) years’ experience. College Degree preferred. HRIS system knowledge a plus. Computer literate and ability to maintain high degree of confidentiality. Strong organizational and communication skills a must. Experienced in Microsoft Word and Excel spreadsheets (basic required but intermediate beneficial). Pleasant phone manner with customer service / data collection skills.
