Help Wanted: Administrator

The Arizona Jewish Historical Society is seeking a friendly, well organized Administrator to assist with our daily operations. This is a part-time position, consisting of 20 to 30 hours per week, based on an hourly rate of $18/hour. Scheduling is flexible with shifts focusing on weekdays between 9am and 5pm. The position includes paid vacation and a retirement plan after one year of service

Job Description:

  • Answer phones, take messages, greet and assist visitors, accept deliveries, and field basic questions about hours of operation and upcoming activities.
  • Support AZJHS staff members with various administrative tasks.
  • Print and prepare for mailing thank you letters for donations, including membership, fundraising events, and capital campaign.
  • Update a membership database with names, addresses, contact Information, pledge and donation information using our DonorPerfect software system..
  • Update and save electronic files as directed by staff.
  • Update form letters and stationery as directed by staff.
  • Monitor and order office supplies as needed.
  • Coordinate and prepare various mailings for the organization including bulk mailings.
  • Deliver bulk mailings to Main Phoenix Post Office at 4747 E. Van Buren.
  • Assist the AZJHS Executive Director and other staff in filing bills, contracts, and other related materials.
  • Provide administrative support for AZJHS Board
  • Coordinate annual corporate filing with the AZ Corporation Commission
  • Archival Filing: Coordinate with AZJHS Archivist to file copies of periodicals and organizational bulletins that are received on a regular basis.
  • Bookkeeping. Bookkeeping skills preferred. Familiarity with QuickBooks is a plus
  • The Administrator will report directly to the AZJHS Executive Director who will serve as his or her immediate supervisor.

Requirements for this position include:

  • An Associate degree in a relevant field or at least 2 years of previous administrative experience
  • Good computer skills. Ability to work with office computer software as well as the internet.
  • Good writing and communication skills
  • Ability to adapt to new situations
  • A team-oriented personality

Job Type: Part-time

Pay: From $18.00 per hour

Expected hours: 20 – 30 per week
