Key Details:

  • Pay: $25.00-$29.00 per hour, based on previous experience related to this position.

  • Location & Schedule: At Apex we find value in the collaborative team environment that is natural and creative when we are in the office together. This is an in-office position, at 415 NW 11th Ave, Portland, OR 97209, scheduled Monday- Friday from 8:00 am-5:00 pm. This position may require evening or weekend hours on occasion.

Responsibilities: We're seeking a proactive individual who thrives in a fast-paced environment and enjoys tackling a variety of tasks. As the Assistant Coordinator, you'll play a pivotal role in maintaining office operations and providing essential support to our brokers. Responsibilities include:

  • Answering phones and directing inquiries to the appropriate parties.
  • Managing the receiving and distribution of mail efficiently.
  • Troubleshooting and ordering supplies for copy and postage machines.
  • Providing support for conference room TV setup, cleanup, and troubleshooting.
  • Maintaining office supply inventory and ensuring supplies are stocked.
  • Fulfilling kitchen duties including coffee making, light cleaning, and trash disposal.
  • Assisting with tracking broker license renewals and maintaining lobby screen calendars.
  • Coordinating Zoom meetings and updating the Broker Ranking board.
  • Compiling prospect reports and formatting presentation materials.
  • Creating Tour Books and pulling flyers for brokers.
  • Updating RMLS listings and taking meeting minutes.
  • Assisting with broker-client relationship management and transaction coordination.
  • Drafting listing agreements, organizing due diligence documents, and managing transaction timelines.
  • Reviewing contracts, leases, and agreements for completeness.
  • Entering data into CRM systems for tracking and visibility.
  • Conducting research, handling special projects, and performing miscellaneous duties as required.

Qualifications:

  • Minimum of high school diploma or equivalent, and some college course work.
  • Minimum of 2 years of experience working in an administrative supportive role in a professional office setting.
  • Minimum of 1 year of experience working in a Real Estate Brokerage environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent communication skills, both written and verbal
  • Strong organizational skills with the ability to multitask and prioritize tasks
  • Attention to detail and problem-solving skills
  • Ability to maintain confidentiality of sensitive information

Certificates and/or Licenses:

  • Ability to get and maintain an Oregon Real Estate License within 12 months of employment is preferred, but not required.
