The Office Supervisor oversees daily office operations, ensures excellent customer service, and manages administrative tasks. The Office Supervisor supervises assigned staff, coordinates guest interactions, and maintains efficient office processes. The Office Supervisor will develop their staff to their highest potential and skill set for professional and clinical skills. They will optimize the efforts of staff to ensure efficient patient flow in and out of exam rooms and work to support the day-to-day job duties.

Responsibilities

As assigned but not limited to the following:

  • Supervise, assist, and coordinate the activities of front office staff.
  • Provide training, guidance, and support to team members.
  • Manage staff scheduling and workload to ensure adequate coverage.
  • Assist in coverage solutions when needed.
  • Assist with new hire setup when needed.
  • Evaluate employee performance and provide regular feedback.
  • Greet and assist guests in a friendly and professional manner.
  • Oversee the check-in and check-out processes, ensuring accuracy and efficiency.
  • Address guest inquiries, requests, and complaints promptly and courteously.
  • Supervise administrative tasks such as data entry, filing, and record maintenance.
  • Train staff on front office procedures, customer service standards, and company policies.
  • Monitor inventory of office supplies, stock transfers, and place orders as needed.
  • Travel to other clinics when needed
  • Perform other administrative tasks and projects as required.
  • Knowledge of and compliance with HIPAA standards.
  • Knowledge of and compliance with OSHA Standard Precautions.
  • Adherence to the healthcare compliance policy.
  • Participate in off-site events as needed.
  • Attend required meetings as scheduled.
  • Perform other related duties as required or assigned.

Qualifications

  • High school diploma or equivalent required.
  • AA Degree in Medical Office Administration, Medical Assisting, or related field preferred
  • At least two years of experience as a Medical Assistant or Front Office Associate in a private practice is required 
  • Experience as a team lead or supervisor is strongly preferred 

Licensure/Certifications/Education

  • Sitting at a computer or standing and walking for extended periods.
  • Moderate amount of talking, bending, twisting, reaching, and balancing.
  • Handling of materials such as paper, supplies, etc.
  • Must be able to lift 15 pounds at times.
