About the Job
The Billing Manager will oversee the entire billing process, from invoice creation to account reconciliation. This role will work closely with project managers, clients, and the finance team to ensure that billing is accurate, timely, and reflects the contracted terms of our projects. Expertise in this role will not only contribute to the financial health of our firm but also to maintaining strong, trust-based relationships with our clients.
This is a hybrid role with an expectation of being in-office a minimum of three days per week, two of which should be on the Firm's three anchor days which are Tuesday, Wednesday and/or Thursday. Occasional travel may be necessary but rare.

What will you do in this role?
You will

• Oversee and manage all billing activities, including invoice preparation, account adjustments, and client billing inquiries.
• Collaborate with project managers to gather all necessary information for accurate billing, such as project scopes, contracts, and change orders.
• Ensure that all invoices are compliant with contractual terms and conditions, including adherence to client-specific requirements.
• Implement and maintain billing systems, databases, and procedures to enhance efficiency and accuracy in the billing process.
• Coordinate with the finance team to reconcile billing accounts and resolve discrepancies.
• Provide regular reports on billing activities, accounts receivable status, and any issues affecting the billing process to senior management.
• Manage and mentor billing staff, ensuring a high level of accuracy, professionalism, and customer service.
• Stay informed about industry best practices, technological advancements, and regulatory changes affecting billing processes.

What you bring to be successful.

• Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
• A minimum of 5 years of experience in billing, accounts receivable, or a similar role, preferably within an architecture, engineering, or construction environment.
• Strong leadership skills, prior experience managing a team helpful but not required.
• Proficiency in billing software and accounting principles.
• Excellent analytical, organizational, and problem-solving skills.
• Exceptional communication and interpersonal skills, with the ability to interact effectively with clients, team members, and senior management.
• Detail-oriented with a commitment to accuracy and confidentiality.
