Andworx is Hiring a Correspondence Specialist Near Arlington, VA

Andworx is hiring an Correspondence Specialist to assist with correspondence and records management activities in partnership with senior leadership in support of our Federal client. In this position you will have a strong attention to detail and possess clear written and verbal communication skills. You will provide high quality support of all internal and external correspondence and information transfers between business units and internal agencies in addition to correspondence and task management activities.

Work location:

Arlington, VA - Tuesday, Wednesday, and Thursday on-site with our customer

Remote: Monday and Friday

Work schedule: 9am -5pm EST

Minimum Qualifications:

  • 4 years of experience overseeing the flow of correspondence throughout an organization including handling, formatting and cataloging
  • Experience with adminstrative and correspondence practices and improving quality of organizational processes, relating to organizing and continuously identifying, retrieving, and preserving information
  • Ability to support senior executives in task management and compliance reviews of materials
  • Strong written and verbal communication skills, to include the ability to communicate and present ideas and solutions concisely and clearly
  • Strong writing and editing / proofreading skills
  • Records management experience using different tracking solutions
  • Experience providing government agency support for all internal and external correspondence, information transfer between business units, to include agency internal tasking and Correspondence and Task Management Activities (CATMS)
  • Active Secret clearance
  • Eligibility for this job requires U.S. citizenship

Responsibilities

As the Correspondence Specialist you are responsible for the organization, maintenance, use, retrieval, and control of the flow of information created by business activities, and transactions within our client’s prevue:

  • Monitor and maintain the Correspondence and Task Management System (CATMS) to ensure all taskers are handled appropriately and promptly
  • Determine the acceptability of correspondence for senior leaders, monitor workload and precedence of tasks
  • Manage tasks for completion within defined suspense dates, and proactively track those actions for completion with the assigned Action Officer
  • Draft documents for review by senior leadership; ensure correspondence accuracy, format, spelling and grammar; process incoming and outgoing correspondence, recommending format and content changes
  • Act as an information manager for correspondence actions in partnership with Action Officers and Principals
  • Manage package routing in partnership with Action Officers to include validating template standards, proper punctuation and grammar, and preparedness for Principal signoff
  • Identify, document, and provide input to information management practices to improve the quality of organizational processes, relating to organizing and continuously identifying, retrieving, and preserving information
  • Support the implementation and maintenance of DoD365 and Microsoft365, specifically acting as a partner for process improvement and suggesting opportunities for automation
  • Assist in the implementation and execution of requirements relating to the transition to electronic records including (OMB Memorandum 19-21, “Transition to Electronic Records):
    • Identify, prepare, and ship all appropriate hardcopy records to the National Archives on a timely schedule.
    • Organize and cleanup duplicates and redundant obsolete files found within our clients HQ and digital space.
    • Assist in the digitization of analog information currently captured within hardcopy documents.
  • Meet agreed upon deadlines for Information and Correspondence Management needs.
