American Legion Auxiliary is Hiring a Program Coordinator Near Indianapolis, IN

Job Description

General Summary: 

The Program Coordinator for the American Legion Auxiliary (ALA) works extensively within the mission outreach programs to help coordinate logistic details for the committees’ portion of the ALA’s annual mission delivery. The Program Coordinator must have strong interpersonal skills, and an ability to interact professionally with members/volunteers. Team collaboration is essential with a willingness to assist in all aspects of the organization. 

 Key Responsibilities: 

Consistent Customer Service: Provide consistently pleasant and efficient customer service, which includes cross-training and documenting program processes to cover absences and scheduled time away. The goal is to maintain a high level of service and continuity within the organization. 

Mission Outreach programs: Be responsive to the needs of the assigned mission outreach programs. This involves keeping track of opportunities and deadlines and alerting national committees and leadership to these factors. It's crucial to maintain an awareness of the overall needs and goals of the ALA. 

Team collaboration: Work with other division team members coordinating administrative aspects of mission outreach programs. 

Essential Job Functions: 

  • Working in tandem with Program Managers, the Program Coordinator assists in the development, monitoring, and logistic coordination for the achievement of objectives outlined for assigned Mission Outreach Program. 
  • Provide administrative and mission outreach program support in response to the needs of volunteer and national headquarters leadership.
  • Processes certification forms and prepares certificates, recognition awards and committee travel request, maintains the necessary database and inventory for the Veterans Affairs & Rehabilitation Program. 
  • Maintains records regarding Memorandum of Understanding with external organizations that impact mission outreach programs.
  • Serves as the primary backup for day-to-day contact for division’s programs, promptly responding to all forms of communication (e-mail, voice mail, social media, etc.). necessary for the smooth and pleasant functioning of the customer service response.
  • Cross trains and serves as backup for other staff members in the program division.
  • Ensures accurate and helpful documentation is kept for all program-related processes, including timelines, tasks, budgets, contacts, and historic documentation of significant occasions. 
  • Performs all other duties as requested. 
  • Travel: Job requires travel 8% of the time, including two extended periods from 1 to 2 weeks, including up to 10 days to a July program. Some weekend meetings are also required. Attendance at virtual training sessions as necessary (some evenings). 

Knowledge, Skills and Abilities: 

  • Excellent communication skills (written and verbal) to develop and maintain effective relationships with key stakeholders. 
  • Must have a high level of interpersonal skills to develop positive and productive working relationships with volunteers/members 
  • Ability to solve problems and work toward win-win solutions in resolving conflicts.
  • Position continually requires demonstrated poise, tact, and diplomacy. 
  • Proficiency in the use of personal computers and a variety of software applications in word processing, spreadsheets, database, presentation software (e.g. Microsoft products), online meeting platforms (Zoom & Microsoft Teams). Familiarity or experience with member management systems a plus, specifically CVENT and iMIS.
  • Must be able to work in a fast-paced environment with demonstrated ability to organize and juggle multiple competing tasks and demands. 
  • A strong commitment to veterans and military families. 
  • Demonstrated fiscal responsibility. 
  • Work requires continual attention to detail in composing and proofing materials, establishing priorities and meeting deadlines. 
  • Must be able to interact and communicate with individuals at all levels of the organization. 

Education and Experience: 

To be eligible for this job, candidates need to meet one of the following criteria: 

  • Two years of work experience preferably within program management of a non-profit organization. 
  • Education equivalent to at least 2 years post-high school. 
  • Related work experience must be functional work experience that gives the employee the required knowledge, skills, and abilities to perform the work of this position.
