Payroll/Student Accounts Assistant – The Ailey School Alvin Ailey American Dance Theater, one of the world’s premier dance institutions, is seeking a motivated, customer service oriented and detail-oriented team player to work in The Ailey School’s Business Office and the Alvin Ailey Dance Foundation Finance Office.The Ailey School, one of the nation’s preeminent dance training institutions, enrolls more than 1000 students annually. The Payroll/Student Accounts Assistant is a full-time position reporting to the Associate Director of School Business Operations to support the daily administrative duties of the school’s Business Office.Duties include, but are not limited to: Payroll · Process and on-board school part-time new hires (Faculty, Musicians, Students)· Process the school’s weekly payroll for 120 part-time employees. · Verify employee time and input into payroll system.· Assist with school’s human resource function – Processing new hire forms and associated ID, paid sick leave tracking, updating employee contact information, and resolving school payroll errors.· Assist with accounts payable and receivables.· Answer inquiries from employees across the organization regarding payroll log-in, password resets, assisting with a variety of issues and helping solve them or assisting with finding a solution.· Assist with unemployment claims.· Assist with drafting agreements.· Special projects as needed. Student Accounts:· Answer phone and emails responding to questions about tuition payments for the school’s Professional Division, First Steps and Junior Division Programs.· Assist with the processing and posting of payments for students in all the school’s programs.· Assist with the management of payment plans and follow-up with past due accounts.· Assist with managing accurate entries into student financial records – charges, receipts, deposits, credits, financial aid, and adjustments.· Provide receipts and confirmation of payments when requested from payers.· Accept payments by phone and in person.· Maintain accurate and detailed data (biographical and financial) in the school’s database.· Assist with school statistical reporting, including, but not limited to reconciliations, 1098-T and other tax reporting needs. Skills/Qualifications:· Bachelor’s Degree with experience in bookkeeping and data entry.· Prior experience in an arts related organization or school.· Must possess strong interpersonal, verbal, and written skills; with a pleasant telephone manner and a clear email communication style.· Detail-oriented with the ability to prioritize tasks and meet deadlines and the ability to handle confidential information.· Must have strong computer skills including Microsoft Word, Excel, student billing and database experience.· Must be a willing and flexible team player, showing initiative to do what needs to be done to get the job done.· Time management skills with an ability to prioritize work.
