Alcyon Technical Services, at NASA Glenn Research Center, is looking for a Program Specialist to support the NASA Agency Chief Learning Officer and Executive Development teams as follows:

Assist in developing and maintaining required program/project controls to ensure mission success, such as

  • Develop project schedules
  • Schedule risk assessment activities
  • Support cost, risk, and schedule integration
  • Maintain communication schedules
  • Document meeting highlights
  • Track action items
  • Coordinate project assessment activities, monthly reviews, and other activities as directed.
  • Schedule recurring meetings with and outside of the team, in partnership with the division team members, stakeholders and others; assist with managing schedules; providing reminders of meetings or deadlines; scheduling meetings with various stakeholders; organizing records and files from numerous data calls; maintaining a tracking system of incoming requests; data calls and outgoing correspondence, create and maintain a tracking system for tasks, requests, and actions. Attend, participate in, and facilitate stakeholder meetings, as appropriate. Document and follow up on important actions and decisions from meetings.
  • Create and distribute communications to a variety of stakeholders.
  • Attend, participate in, and facilitate meetings, briefings and presentations.
  • Develop communications and presentation materials on programmatic lessons learned, industry and government benchmarking activities, and other project performance information.
  • Provide an integrated summary of program and project schedules to be updated and delivered on a monthly, quarterly, and annual basis.
  • This is dependent on the individual projects providing timely schedules to be integrated.
  • Create and maintain an integrated calendar of learning and development activities, programs, courses, and other important items for internal planning purposes. This should cross teams and communities as needed (i.e. TALO & Exec Services).
  • Serve as primary liaison for external and internal program calls. Develop and manage distribution and collection of information, materials, and requests as part of this process.
  • Provide programmatic support both virtual and in-person of executive development offerings (e.g. room reservation, material duplication, name badges/tents)
  • Maintain consistent tracking of data associated with the work portfolio. This includes such things as data analysis and presentation, as well as tracking of participation across multiple years and activities, succession planning, ROI activities and OD engagements as well as the development of various reports, presentations and marketing collateral. Provide course/event management support including scheduling speakers, rooms, and virtual collaboration support before, during, and after events.
  • As requested, perform content updates and publication of Development Catalogs (i.e. Exec Dev & Leadership Development) on a bi-annual basis.
  • Assist with content for websites related to learning/development and any customer/public facing sites, materials, publications, etc.
  • Maintain channel and file structure in TEAMs, provide TEAMS event support (breakout room management, participant list download, note taking, recording, etc.), keep up-to-date with feature/functionality enhancements and propose solutions to promote efficient and effective team collaboration.
  • Establish productive relationships, be proactive in working with the Agency Chief Learning Officer, Center Chief Learning Officers, Coaching Program Managers, Mentoring POCs, other learning communities of practice, e.g., NSC, APPEL, respective team members, and other stakeholders (Civil Servant and Contractors), to develop the required information/products.
  • Work with SATERN Administrators to:
  • Create/establish SATERN learning items
  • Develop course announcements with SATERN links
  • Monitor participant sign-up, reporting, and communications and send updated participant report a week before start date and the day before
  • Ensure accurate credit reporting for attendees
  • Troubleshoot SATERN issues with participants
REQUIRED QUALIFICATIONS AND EXPERIENCE:

Education: Bachelors Degree in Business or work years equivalency
Experience:

  • Minimum 7 years working in an office environment and event planning.
  • Experience and proficiencies in business management tools, i.e., to include Project, Word, Excel, PowerPoint, MS Teams, and Adobe Acrobat.
  • Experience with the NASA application SATERN is desired.
  • Experience utilizing all functionality of Outlook Calendar application.
  • Competent in use of collaboration tools and leveraging of technology, i.e., Adobe Connect and O365 Teams.
  • Prior experience analyzing data is preferred.
  • Skilled in developing presentations from submitted content is required.

  • Ability to troubleshoot issues and determine actions taken until resolution.
  • Ability to effectively prioritize and execute tasks conforming to shifting priorities, demands, and timelines.
  • Strong analytical and problem-solving skills.
  • Strong written and oral communication skills are critical for supporting such an autonomous role.
  • Demonstrates proper use of grammar, excels in proofreading, and prepares high quality documentation.
  • Strong customer service and organization skills, keen attention to detail, and the ability to work independently as well as part of a team.
  • Ability to manage multiple, time-sensitive tasks/projects simultaneously with a focus on results and quality.
  • Ability to prioritize work and follow through to meet deadlines.
  • Must be able to work in a fast-paced environment.
