Alliance Counseling Associates is Hiring an Assistant Client Care Coordinator Near Bowling Green, KY

The Client Care Assistant plays an important role at Alliance Counseling Associates, ensuring our clients feel supported from their first interaction with our practice. This role is responsible for managing referrals, scheduling new clients and tracking client attendance, among other duties. This is a part-time position requiring 25 hours of work per week, Monday-Friday.

Description

Duties/Responsibilities:
  • Referral Management:
  • Receive and process client referrals from various sources in a timely manner.
  • Update and maintain the referral database.
  • Client Scheduling:
  • Schedule appointments for new clients, ensuring minimal wait times and efficient use of therapist availability.
  • Monitor cancellations, keeping a keen eye on potential availability for waitlisted clients.
  • Communicate effectively with both clients and clinicians regarding scheduling matters.
  • Attendance Tracking:
  • Monitor and record client attendance for each appointment.
  • Liaise with clinicians and clients regarding missed appointments and rescheduling.
  • Client Support and Communication:
  • Serve as a primary point of contact for clients, offering a welcoming and supportive environment.
  • Address any initial queries or concerns clients may have and direct complex issues to the appropriate staff member or clinician.
  • Maintain confidentiality and uphold the practice’s standards of client care at all times.
  • Administrative Tasks:
  • Maintain updated client records and ensure accuracy of data in the practice management (EHR) system.
  • Assist with additional administrative tasks as requested by the Director of Client Care
Qualifications and Skills:
  • High School Diploma or equivalent.
  • Previous experience in a similar role or in a healthcare setting is preferred.
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in using office software and practice management systems with accuracy.
  • A compassionate and empathetic demeanor, with a genuine interest in mental health and client care.
  • Alignment with Alliance Counseling Associates mission, vision, and values.
  • Must be punctual and reliable in reporting to work.

Compensation:
$15/hourly
