Alabama Regional Medical Services is Hiring an Operations Manager Near Birmingham, AL

SUMMARY: Managing and coordinating daily operational activities and systems as well as individual operations projects as changes and developments demand. The key operations manager duties include monitoring the company’s organizational processes, introducing improvements, and implementing different strategies to ensure efficiency. Oversees facility operations and functions at all clinical sites. Manages ensuring the operations department remains ready for any Joint Commission inspection. Plays a vital role in maximizing the output of the various support services, both internally and externally. As a part of the senior management team will be jointly responsible for contributing towards the achievement of the company’s strategic and operational goals and objectives.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Coordinate, manage and monitor ARMS facilities operations and departments which include:
  • Facilities upkeep and maintenance
  • Housekeeping services
  • Grounds maintenance
  • Utilities
  • Security and safety of patients and staff, including management of the Security staff and Safety officer
  • Waste management
  • Equipment repair and inspection
  • Procuring and maintaining business equipment, furniture and fixtures
  • Planning, scheduling and reviewing workloads to ensure tasks are completed in a timely manner and within budget.
  • Monitoring the weekly inventory logs along with the order details to understand, track, and trend what supplies ( facility and office) each clinic is using and how frequently.
  • Assist with planning, staffing, and setup of Mobile Health Unit throughout the service area
  • Enforce all workplace policies and procedures to ensure continuous Joint Commission and HRSA Readiness.
  • Assists in monitoring and meeting project deadlines.
  • Address and report any safety concerns to the COO in a timely manner.
  • Monitors incident reports for any safety or EOC concerns
  • Act as Chairperson of the Environment of Care Committee that reports to QI monthly
  • Provide the necessary and required reports and paperwork.
  • Establish maintenance budget per week/month – document excursions from the budget and maintain electronic weekly log of expenses vs. budget.
  • Review supply costs with COO on regular basis and streamline in order to save the organization money.
  • Conduct job specific departmental training for new employees related to maintenance, upkeep, security and safety of the facilities. Supervise site manager(s) and coordinate audits done periodically to validate compliance with regulations and government agencies.
  • Assist with agency-wide compliance issues, as appropriate.
  • Assists with the operation of and upkeep of SRO housing including monitoring rent payments and overseeing any inspections.
  • Provide assistance and support to other programs and departments as needed.
  • Contribute to short and long-term organizational planning and strategy as a member of the management team.
  • Liaise with vendors upon the supervisor request.
  • Assist site manager in communicating concerns to other departments.
  • Coordinate equipment inspections and waste removal with site managers.
  • Other specific duties as assigned.

QUALIFICATION REQUIREMENT:

  • Excellent Information technology skills.
  • Strong interpersonal skills and a collaborative management style.

  • Prior budgeting experience preferred.
  • Must maintain a clean Motor Vehicle Record.

EDUCATION AND/OR EXPERIENCE:

  • Associates Degree or four years of relevant experience or equivalent combination of education and experience. Minimum of 3 years as supervisor are required

OTHER SKILLS AND ABILITIES:

Ability to organize, communicate effectively and knowledge of general corporate operations are a must. Lifting and transporting moderately heavy objects, such as computers and peripherals. Demonstrated knowledge and skills related to office management software and computer function. Proven track record of independent function without others. Proven track record of promoting team work and collaboration.
