Position Overview: AKAM seeks a dynamic Yardi System Administrator with primary focus on Yardi, but with desire to expand the role into other systems over time. As the system administrator, you will oversee the administration of Yardi along with current and future integrations including AvidXChange and ClickPay. This position requires strong technical knowledge of Yardi, effective communication skills, and the ability to work cross-functionally across multiple teams and modules within Yardi.

Responsibilities include, but not limited to:

ADMINISTRATIVE:

  • Maintain and manage the Yardi system to support the property accounting and operations teams. This includes acting as the Administrator/Superuser for the software, managing day-to-day configuration, support, and maintenance of Yardi database and its ecosystem of applications.
  • Provide expert guidance on Yardi functionalities, customization options, and best practices for efficient property accounting and operations processes.
  • Continuously assess and optimize Yardi system performance and functionality.
  • Establish, monitor, and support 3rd party applications integration with Yardi (including AvidXChange and ClickPay) to ensure a seamless experience.
  • Create and maintain admin documentation for business continuity and redundancy.
  • Responsible for set up, documentation, and maintenance of:
    • User security groups, new user set-up, user deactivation, and security management
    • Permissions, property lists, menus, report menus, and other customized configurations
    • Master chart of accounts (account activations, user account requests and mapping) and support overall integrity of data and reporting
    • Account trees to support reporting, including removal of unused records as needed.
    • Monthly end-of-month process and annual budgeting
    • Documentation of software customizations and other system configurations for custom menus, reports, integrations, scheduled tasks, and report scheduler events.
  • Help oversee all system configuration changes, including new property/entity set-ups, user maintenance, licenses, and access.
  • Support the data conversion process including building and managing ETLs. 
  • Manage the system maintenance strategy, including supervising the process of system upgrades, backups, testing, and connectivity to other enterprise applications.
  • Lead test efforts related to new functionality, new modules, and upgrades to existing modules including creating test plans, test cases, and working to ensure process is followed by end users.
  • Resolve end-user support requests via ticketing system and ensure compliance with service level agreements. 
  • Provide technical support and troubleshooting for all Yardi programs working with end users to quickly resolve issues. Facilitate a positive customer experience by liaising with Yardi for items needing their level of support.
  • Provide timely responses in a professional, customer service-oriented fashion that resolves core issues as efficiently as possible.
  • General knowledge of Condo/Coop/HOA, Multifamily Residential, and Commercial management, and processes as they relate to Yardi.
  • Become knowledgeable with AKAM’s property accounting and operations business procedures and needs; continually look for ways to leverage Yardi’s capabilities to improve efficiency through workflow, automation, and process improvement.
  • Requires a highly organized person who can take initiative, prioritize multiple requests and obligations to facilitate smooth, organized workflow; and determine urgency of issues.
  • Requires strong written and verbal communication skills with the ability to work and collaborate with users at all levels.

REPORTING:

  • Assist in financial and billing reporting from the Yardi system, including maintaining standard reports, modifying existing reports, and creating new reports.
  • Use SQL to diagnose issues with data and reporting.
  • Assist with design and custom SQL reporting.

Qualifications:

  • Education: Bachelor’s Degree in Accounting, Finance, Computer science or a related field
  • 2-3 years of experience in Yardi system administration 
  • Knowledge of Yardi database structure and Yardi Accounting module
  • Working understanding of database concepts and user security
  • SQL query knowledge and experience with import/export tools
  • The ability to anticipate, understand, and respond to the needs of all stakeholders
  • The ability to build and foster relationships with internal and external stakeholders
  • Effective communicator who can clarify ambiguities and present information and performance reporting in a structured and straightforward manner
